Job Summary

The Human Resource Associate will provide effective support to the People & Purpose team at Deloitte East Africa, ensuring timely delivery of work in allocated areas. Key responsibilities include managing recruitment processes from posting jobs and shortlisting candidates to extending offers and organizing inductions. The role also involves record management, payroll input coordination, performance management support, offboarding procedures, staff welfare activities, and preparing HR correspondences. This position is based in Kampala, Uganda, and requires a dynamic individual to contribute to the firm's internal client services.

Must Have

  • Obtain necessary approvals for vacancies
  • Post job adverts and track recruitments on Smart Recruiters
  • Shortlist candidates and schedule aptitudes or case studies
  • Schedule successful candidates for oral manager and partner interviews
  • Extend offers, send new joiners’ documents, and issue contracts
  • Organize induction sessions and commence background checks
  • Open files for new staff and ensure all relevant documents are filed
  • Ensure SAP-SF is updated
  • Coordinate submission of Uganda payroll inputs
  • Update monthly HR payroll inputs (new joiners, exits, transfers, bank details)
  • Upload payroll onto the system
  • Download payroll reports
  • Provide support for performance management system familiarity
  • Work with Staff managers to allocate supervisors
  • Prepare Talent Review schedules
  • Ensure all staff feedback is captured before talent review session
  • Draft respective talent review outcome documents
  • Initiate designated low performance interventions
  • Work on pay review schedules
  • Issue necessary leavers documents
  • Notify relevant teams to commence exit processes for staff
  • Update SAP – SuccessFactors with exit information
  • Sign off staff clearance forms
  • Conduct exit interviews for staff
  • Prepare calendar year wellness activities
  • Identify facilitators/coordinators for the wellness activities
  • Organize the annual HR Week activities for Uganda office
  • Be part of the social committee coordinating firm wide events
  • Prepare staff letters upon request (e.g., visa letters, bank letters, recommendation letters, resignation acknowledgments)
  • Draft respective in-country or regional HR communications
  • At least an upper second bachelor’s degree in Human Resources Management, Industrial and Organizational Psychology, Business Administration or related field
  • A minimum of 16 points at 'A' Level or equivalent
  • A first grade in 'O' Level (with at least credit 3 in English and Mathematics) or equivalent
  • At least two (2) years' working experience with a minimum of one (1) year HR Operations experience
  • Be a Ugandan citizen

About the department

Deloitte East Africa has a well-versed Internal Client Services unit positioned to deliver outstanding value and services needed to achieve Deloitte's vision. It enables client facing staff to work more efficiently and effectively.

It takes a high-powered network of internal support professionals to keep Deloitte going strong. The People & Purpose team works closely with our internal clients in the various business units we service and are involved in the people element of the business strategy, which requires a thorough knowledge of industry trends and their impact on the workforce. We play a crucial role in assisting the business with the execution and alignment of workforce plans with people-related matters such as development, recognition and reward.

We currently have an exciting opportunity for a dynamic individual to join our People & Purpose Team as a Human Resource Associate. This position will be based in our Kampala office in Uganda.

Job Description

Main Purpose of Job

The incumbent will provide effective support to the People & Purpose team while ensuring timely delivery of work in the allocated area.

What you will do

Recruitment

  • Obtain all necessary approvals once a vacancy has been shared with HR.
  • Post job averts, track recruitments on Smart Recruiters and move candidates as the recruitment process progresses.
  • Shortlist candidates that meet the criteria and schedule them for aptitudes or case studies as deemed necessary.
  • Schedule successful candidates for oral manager and partner interviews.
  • Once recruitment is done, extend offers, send out communication on the prerequisite new joiners’ documents and issue contracts.
  • Organize induction sessions and commence background checks process.

Record management

  • Open files for new staff and ensure all relevant documents are filed.
  • Ensure SAP-SF is updated.

Payroll

  • Coordinate submission Uganda payroll inputs from internal teams.
  • Work on the monthly HR payroll inputs which involves updating new joiners, exists, transfers & change in bank details, to be shared with the HR Manager for review.
  • Upload payroll onto system once review is complete.
  • Download payroll reports once uploaded by payroll team.

Performance management

  • Provide necessary support to enable staff to become familiar with performance management system.
  • Work with Staff managers to allocate supervisors to staff.
  • Prepare the Talent Review schedules for Uganda office and respective HRBP Function.
  • Ensure all staff feedback is captured before talent review session.
  • Draft respective talent review outcome documents.
  • Initiate designated low performance interventions.
  • Work on pay review schedules.

Offboarding

  • Issue necessary leavers documents
  • Notify relevant teams to commence exit processes for staff
  • Update SAP – SuccessFactors with exit information
  • Sign off staff clearance forms
  • Conduct exit interviews for staff

Staff welfare

  • Prepare calendar year wellness activities.
  • Identify facilitators/ coordinators for the wellness activities.

Qualifications

Required Qualifications and Experience

  • At least an upper second bachelor’s degree in Human Resources Management, Industrial and Organizational Psychology, Business Administration or related field.
  • Professional qualifications in a relevant field (e.g. CIPD,SHRP) will be an added advantage.
  • A minimum of 16 points at 'A' Level or equivalent;
  • A first grade in 'O' Level (with at least credit 3 in English and Mathematics) or equivalent;
  • At least two (2) years' working experience with a minimum of one (1) year HR Operations experience.
