Job Summary

We are looking for an Office Assistant to join our Facility team in Gdynia. The primary responsibility is to ensure the smooth operation of the front desk and office, partnering with the Facility department. This includes coordinating office activities, receiving guests, handling correspondence, supporting meetings and business trips, managing office supplies, updating databases, communicating with external and internal clients, maintaining office tidiness, and supporting various departments.

Must Have

  • Ensure smooth operation of front desk and office
  • Coordinate office activities and operations
  • Receive and serve guests and customers
  • Prepare official letters
  • Segregate and archive letters and documents
  • Compile documentation and prepare presentations for auditors
  • Handle incoming and outgoing correspondence
  • Support the organization of conferences, business meetings and business trips
  • Keep a stock of office supplies and place orders/make purchases
  • Update necessary databases
  • Report to Waste Database and others when necessary
  • Communicate with other companies and state institutions
  • Contact with an internal client (employees, other sites of the company)
  • Maintain cleanliness and tidiness of office facilities
  • Support the Facility department and other departments
  • Take care of the good atmosphere and organization of work
  • 1-3 years of experience in office administration, reception desk or other administrative roles
  • Highly developed organizational, problem-solving and time management skills
  • Ability to understand the business requirements, user needs and translate them into operational requirements
  • Knowledge of MS Office
  • Fluency in Polish language
  • Intermediate level of English language

Good to Have

  • Category B driving license
  • Knowledge of ISO certification

Principle duties and essential functions

The primary responsibility of the Office Assistant will be to ensure the smooth operation of the front desk and office and to be a partner to the Facility department.

Other tasks and responsibilities

  • Coordinating front desk and office activities and operations to ensure efficiency and compliance with company policies
  • Receiving and serving guests and customers
  • Preparing official letters
  • Segregating and archiving of letters and documents
  • Compiling documentation and preparing presentations for auditors
  • Handling incoming and outgoing correspondence
  • Supporting the organization of conferences, business meetings and business trips
  • Keeping a stock of office supplies and placing the orders/making purchases when necessary
  • Updating the necessary databases
  • Reporting to Waste Database and others when necessary
  • Communication with other companies and state institutions
  • Contact with an internal client (employees, other sites of the company)
  • Maintaining the cleanliness and tidiness of the office facilities
  • Supporting the Facility department and other departments depending on needs
  • Taking care of the good atmosphere and organization of work

Knowledge, skills, and experience required

  • 1-3 years of experience in office administration, reception desk or other administrative roles
  • Highly developed organizational, problem-solving and time management skills
