Job Summary
ADTRAN is seeking a highly motivated and experienced Receptionist (M/F/D) for its Facility team in Meiningen, Germany, on a part-time basis (20 hours per week). The role involves managing internal and external phone calls, handling mail, processing invoices, welcoming guests, coordinating the pool vehicle fleet, scheduling appointments, preparing meeting rooms, and general office support. The ideal candidate will have commercial training, strong English skills, proficiency in office software, and excellent organizational and communication abilities.
Must Have
- Answering and forwarding internal and external phone calls, including in English
- Handling and distributing incoming and outgoing mail
- Processing incoming invoices
- Welcoming and assisting guests
- Coordination and administration of the pool vehicle fleet
- Scheduling appointments and preparing meeting rooms
- Completed commercial training or comparable qualification
- Strong command of English, both written and spoken
- Confident use of telephone, PC, Internet, Windows, Office, Outlook
- Strong team spirit, ability to work under pressure, and excellent organizational skills
- Professional demeanor, strong communication skills, and a strong service and customer focus

Principle duties and essential functions
- Answering and forwarding internal and external phone calls, including in English
- Acting as telephone backup for the Munich office or other departments
- Handling and distributing incoming and outgoing mail (internal/external)
- Processing incoming invoices
- Welcoming and assisting guests, including organizing refreshments at the reception and during meetings
- Coordination and administration of the pool vehicle fleet
- Scheduling appointments and preparing meeting rooms
- Supporting general office tasks (e.g., mail stamping, correspondence)
- Ordering and managing office supplies and maintaining relevant statistics
- Managing visitor registration and administration
Knowledge, skills and experience required
- Completed commercial training or comparable qualification
- Strong command of English, both written and spoken
- Confident use of telephone, PC, Internet etc. including the necessary software (Windows, Office, Outlook, etc.)
- Strong team spirit, ability to work under pressure, and excellent organizational skills
