Job Description

Job Responsibilities

I. Job Duties

1. Undertake the important task of company system construction and management, comprehensively plan the company's institutional system, organize and preside over relevant system discussion meetings, and supervise and ensure the effective implementation, evaluation, and summary of management systems.

2. Responsible for the comprehensive management of company archives, actively providing convenient and scientific archive retrieval tools and reference materials, timely collecting feedback on management effectiveness, and summarizing and supervising.

3. Draft and formulate supervision and inspection related systems, responsible for supervising the implementation of important resolutions, major matters, and annual key tasks, regularly conducting work inspections, holding meetings, and submitting summary reports.

4. Responsible for scheduling leaders' daily work, including the formulation, reminder, and announcement of company leaders' weekly work plans, ensuring the efficient operation of leaders' work.

5. Responsible for auditing company administrative expenses, as well as the management and maintenance of company seals.

6. Overall planning and ensuring company-level meetings and major events, ensuring the smooth progress of various activities.

7. Responsible for comprehensive affairs management for cadres approved for official overseas travel (including visa processing, etc.).

8. Overall coordination of company work plans and summary preparation, and follow up on implementation.

9. Responsible for the overall arrangement and coordination of the company's external reception work.

10. Responsible for the allocation and management of company office and administrative housing, ensuring rational utilization and efficient management of resources.

11. Responsible for company secretarial work, including the upward and downward transmission of superior and company documents.

12. Responsible for handling legal disputes, risk control and prevention, compliance review, and other legal affairs.

II. Job Requirements

1. Thoroughly grasp national and local relevant policies and regulations, especially those related to official document processing, such as the "Regulations on Official Document Processing of the People's Republic of China", to ensure work complies with regulatory requirements.

2. Possess rich administrative management knowledge, understand the operating mechanisms and management processes of enterprises or government agencies, and be able to efficiently carry out official document processing and management work.

3. Proficient in professional knowledge of archive management, capable of effectively organizing, archiving, and retrieving files.

4. Proficient in writing various official documents, such as reports, notices, requests, ensuring that document formats are standardized, wording is accurate, and expression is clear, completing document writing with professional standards.

5. Proficient in using office software, such as Word, Excel, PowerPoint, capable of efficiently performing text editing, typesetting, and data analysis to improve work efficiency.

6. Possess the ability to quickly learn new knowledge and skills, adapt to constantly changing work demands, and continuously update one's knowledge system.

7. Possess good communication skills, capable of effectively communicating with colleagues from different departments and levels, coordinating various tasks, ensuring smooth information flow and teamwork.

8. A legal study background is preferred.
