Description
We are seeking a highly organized and proactive Executive Assistant to support the CEO across multiple businesses. This role will ensure that the CEO stays organized, on top of emails, calendars, projects, and day-to-day administrative tasks. The ideal candidate is adaptable, mentally flexible, and excited by variety—no two days are the same in this role.
Requirements
Responsibilities:
- Manage and monitor the primary and secondary email inboxes, categorizing, archiving, triaging, responding to basic emails, and flagging messages requiring CEO attention.
- Maintain and optimize the CEO’s calendar, schedule and reschedule meetings, and ensure smooth daily workflow.
- Support projects and tasks using project management tools (e.g., Asana), including note-taking, documentation, dashboards, and event or product launch preparation.
- Answer calls when needed and coordinate communication across team members.
- Assist with travel arrangements for the CEO and occasionally for other team members.
- Support personal and family administrative tasks to help integrate work and personal life.
- Monitor and assist with social media accounts (optional/if interested).
- Maintain dashboards with key metrics and KPIs, consolidating data from websites, bookkeeping, and other sources.
Requirements:
- 2–3 years of relevant experience supporting executives
- Highly organized, proactive, and adaptable to changing tasks and priorities.
- Excellent communication and collaboration skills.
- Ability to manage multiple inboxes and calendars efficiently.
- Comfortable learning and using a variety of tools and software, including Asana, QuickBooks, Shopify, Slack, Figma, Adobe Suite, social media platforms, and others.
- Fun, light-hearted, and ego-free, aligned with company culture.
- Experience with EOS framework is a plus.
- Ability to anticipate needs, take initiative, and contribute to process improvements
- Excellent communication skills in English, both written and verbal.
- Currently living in LATAM.
