Job Description

Ceragon is seeking a Facility & Travel Coordinator for its Romania Talent Center. This role involves overseeing daily operations, maintenance, and travel logistics to ensure a functional, safe, and well-maintained workplace. Key responsibilities include managing office facilities, implementing maintenance plans, sourcing and managing vendor contracts, handling office consumables, coordinating with building administrators, and overseeing customs clearance. Additionally, the coordinator will manage business travel, including negotiating corporate hotel agreements, coordinating travel requests with agencies, and processing visa applications for both inbound and outbound employees.
Good To Have:
  • Knowledge of preventive maintenance and investment planning (PAM/PAI).
  • Experience with ERP systems (Oracle Fusion is an advantage).
  • Practical experience overseeing facility systems (HVAC, electricity, fire safety) in collaboration with vendors.
Must Have:
  • Oversee office facilities, ensuring safety, cleanliness, and functionality.
  • Develop and implement Annual Preventive Maintenance Plan (PAM).
  • Prepare Annual Operation Plan (AOP) including budgeting and supplier management.
  • Negotiate and manage contracts with external service providers.
  • Manage office consumables and coordinate with building administrators.
  • Handle Purchase Requisitions (PRs) and Purchase Orders (POs) in Oracle.
  • Oversee customs clearance for various equipment shipments.

  • Proven experience in facility, office, operations, or travel management.
  • Experience in vendor management, supplier negotiations, and contracts.
  • Familiarity with travel management, including visa processing.
  • Excellent communication skills in English and Romanian.

About the Role We are looking for a Facility & Travel Manager to oversee the daily operations, maintenance, and travel logistics of our Talent Center. This role ensures that the workplace is fully functional, safe, and well-maintained, while also managing business travel and related vendor relationships.

What will you do:

  • Oversee office facilities, ensuring safety, cleanliness, and functionality (HVAC, fire systems, access systems, water/coffee machines, kitchen appliances, bathrooms, etc.).
  • Develop and implement the Annual Preventive Maintenance Plan (PAM) in line with legal requirements and technical specifications of the building; budget, plan, and supervise execution with contracted vendors.
  • Prepare the Annual Operation Plan (AOP), including budgeting, supplier selection, contracting, and quality supervision of projects and upgrades.
  • Source, negotiate, and manage contracts with external service providers (electricity, AC, fire extinguisher checks & evacuation drills, building maintenance, office supplies).
  • Manage office consumables (stationery, fruit, pastry, coffee, water, etc).
  • Coordinate with building administrators (e.g., monthly electricity readings, building-related issues).
  • Register and validate suppliers in the company system (Oracle).
  • Create, track, and manage Purchase Requisitions (PRs) and Purchase Orders (POs) in line with Finance policies, including approvals in company system.
  • Oversee customs clearance for shipments (e.g., R&D, V&V, PNBU, Marketing equipment), ensuring complete documentation and timely delivery.
  • Act as first responder for emergencies and ensure continuous compliance with health, safety, and fire regulations.
  • Provide periodic reporting to management on facility budgets, utilities, maintenance costs, and any deviations from plan.

Travel Management

  • Negotiate and maintain corporate hotel agreements and competitive pricing.
  • Manage travel requests with agencies, validate costs with ELT managers, and confirm bookings.
  • Handle hotel reservations for all Romania-based business trips and events.
  • Coordinate visa requests for both inbound travelers to Romania and outbound employees traveling internationally (e.g., USA, India, Australia).

Job Requirements

What are we looking for:

  • Proven experience as a Facility Manager, Office Manager, or in a similar role with responsibility for facilities, operations, or travel management.
  • Experience with vendor management, supplier negotiations, contracts.
  • Familiarity with travel management (hotel agreements, agency coordination, visa processing).
  • Excellent communication skills; fluency in English and Romanian (spoken & written).
  • Strong organizational skills with a proactive, solution-oriented mindset.
  • Service-oriented mindset with the ability to engage and influence stakeholders.
  • Strong ownership, independence, and accountability.
