Job Description

Autodesk is seeking an Office Administrator with at least 2 years of experience to join their Workplace team in Kraków, Poland. The role involves managing office facilities, coordinating with vendors, and ensuring a best-in-class workplace experience. Responsibilities include handling service requests, conducting maintenance inspections, supporting office upkeep, and coordinating events. The ideal candidate will have excellent customer service skills and be proficient in English and Polish.
Must have:
  • Manage Action Requests for service, repairs and maintenance
  • Perform ongoing facilities maintenance inspections of common areas
  • Support offices maintenance efforts by performing duties such as furniture moving, simple mechanical projects, light construction, or audio/visual set-up
  • Provide preventative maintenance support by ensuring proper lighting, door, furniture, availability of the fire extinguishers and other life safety equipment
  • Model company safety policies and participate in Emergency Response Team efforts
  • Coordinate with external vendors, event contractors and on-site event organizers
  • Develop and maintain positive working relationships with employees, management and external service vendors
  • Coordinate with outside contractors on facilities and equipment repairs and internally with other departments
  • Maintain knowledge of building management’s policies and procedures manual and maintain building specific files
  • Responsible for timely reporting and correction of any discrepancies using the Action Request process
  • 1-2 years of relevant work experience

  • Ability to build strong relationships within the team and with external partners
  • Skilled in internet and social media navigation, with the ability to learn new applications quickly

Position Overview

We are looking for outstanding individuals to join our Workplace team and help Autodesk change the future of having the best place to work. We're looking for a Workplace Administrator with at least 2 years of experience in managing offices, taking attention to details, willing to deliver the best workplace service to our employees.

Responsibilities

FACILITIES UPKEEP AND MAINTENANCE

  • Manage Action Requests for service, repairs and maintenance, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to customers in a timely manner
  • Perform ongoing facilities maintenance inspections of common areas by conducting “walk-throughs” of site to ensure compliance with local health and safety regulations
  • Support offices maintenance efforts by performing duties such as furniture moving, simple mechanical projects, light construction, or audio/visual set-up. Provide preventative maintenance support by ensuring proper lighting, door, furniture, availability of the fire extinguishers and other life safety equipment
  • Model company safety policies and participate in Emergency Response Team efforts
  • At higher levels, may participate in facilities project administration. May manage vendors who perform repairs and preventative maintenance

COORDINATION

  • Coordinate with external vendors, event contractors and on-site event organizers to assure that resources, meeting space and catering are available and appropriately scaled to meet needs
  • Develop and maintain positive working relationships with employees, management and external service vendors
  • Coordinate with outside contractors on facilities and equipment repairs and internally with other departments. Maintain knowledge of building management’s policies and procedures manual and maintain building specific files
  • Responsible for timely reporting and correction of any discrepancies using the Action Request process
  • May be responsible for communicating to site occupants regarding facilities issues, news, and/or updates. In some cases, may perform the duties of the Workplace Coordinator
  • May perform other activities such as mail deliveries, shipping & receiving, inter-office transportation of equipment, and may serve as back-up Receptionist
  • May Lead and coordinate events projects.

Minimum Qualifications

  • 1-2 years of relevant work experience
  • Proficient in English and Polish
  • Excellent customer service skills and a high level of integrity
  • Ability to build strong relationships within the team and with external partners
  • Skilled in internet and social media navigation, with the ability to learn new applications quickly
  • Willingness to work from the office 5 days a week
