Job Description

The Office Manager is responsible for ensuring the smooth operation of the office, maintaining a well-presented and appointed workspace, and supporting the team with administrative tasks. This includes greeting visitors, managing building repairs, liaising with suppliers, overseeing cleanliness, and ensuring appropriate equipment and safety provisions are in place to foster a productive environment for staff and clients. The role also involves supporting social and event committees.
Must have:
  • Develop and uphold all village management tasks ensuring duties are prioritized and completed to the highest standard.
  • Responsible for overseeing all building repairs and maintenance.
  • Identify, appoint and liaise with suppliers & contractors.
  • Work with building manager where required to ensure compliance with building protocols.
  • Maintain documentation and office manual.
  • Manage cleaners & ensure our village space is well presented at all times.
  • Monitor and maintain reception displays and other installations.
  • Ensure all installations are switched on and off daily.
  • Manage internal comms on cleanliness and encourage the team to actively care for the work environment.
  • Ensure reception is manned during office hours.
  • Calls are answered and directed in a timely manner.
  • Guests are appropriately greeted and managed.
  • Mail & deliveries are actively distributed.
  • Couriers booked and managed.
  • Meeting rooms are well kept.
  • Support offered on boardroom/meeting room management.
  • Oversee orders for food and beverages, stationery & paper (within budgets).
  • Ensure stocks are monitored, deliveries are unpacked, and supplies are restocked to correct distribution point.
  • Ensure the office is stocked with appropriate equipment and facilities to support the team and clients.
  • Ensure there are always appropriate First Aid and Fire Safety provisions and adequate signage and officers in the office.
  • Ensure the Sydney office team are appraised of procedures including fire evacuation.
  • Ensure appropriate records are kept for any injuries or events in the workplace.
  • Tracks and report on costs related to the office environment & building services.
  • Support the village ‘social’ committee (ie Half yearly party)!
  • Support events such as Company Meetings, Group Showcases, village gatherings, Client Events, and social calendar events.
Good to have:
  • OH&S Experience is advantageous but not essential.
  • Become the Chief Warden and the representative for HAVAS.
  • Passionate about organising/managing events (+ bringing the Village together).

About the Role

The Office Manager is responsible for making sure everyone is greeted when they arrive, to the emphasis we place on creating a space for great work to thrive and the responsibility we take for the team’s wellbeing. This role ensures the office runs smoothly, is well presented & appointed, and to ensure the team are supported in the delivery of administrative tasks to support our team and clients.

Key Responsibilities in detail
