Overview:
SOFTSWISS is looking for a Senior Onboarding Experience Specialist to join our People Experience & Culture (PX&C) team. We want onboarding to be more than just a checklist — it should feel like joining a story: inspiring, seamless, and meaningful.
Your mission will be to design and deliver onboarding experiences that help new colleagues feel confident, connected, and productive from day one.
Purpose of the role:
You’ll be the driving force behind an onboarding process that helps people quickly understand our culture, our products, and their impact — while feeling welcomed and supported. We’re looking for someone who can blend creativity and structure: build digital experiences, design rituals and touchpoints, and make sure the whole journey runs smoothly across teams and countries.
Key responsibilities:
- Coordinate and continuously improve the onboarding journey: from preboarding to the first 90 days.
- Create content, formats, and rituals that make onboarding human, memorable, and aligned with our culture.
- Adapt onboarding scenarios for different departments, teams, and locations (engineering, operations, support, etc.). Integrate product learning and company knowledge into engaging onboarding materials and sessions.
- Launch feedback loops and pulse checks at 1–30–60–90 days to track satisfaction and identify friction points.
- Collaborate closely with HRBPs, Talent Development, Internal Communications, and team leaders to ensure consistency and flow.
- Maintain onboarding documentation and knowledge base in Confluence, Slack, and other internal tools. Track key onboarding metrics (completion rate, satisfaction, time-to-productivity, early attrition) and suggest improvement actions.
- Pilot new ideas: digital formats, gamified learning, buddy programs, challenges, or onboarding quests.
- Ensure every new hire’s experience reflects our values and EVP — from the first email to full integration.
Required Experience:
- Experience 4+ years of experience in onboarding, employee experience, learning design, or internal communications (preferably in tech or international companies).
- Proven track record of running and improving onboarding programs (not just administrative coordination).
- Strong understanding of employee journey design and service design principles.
- Experience with digital collaboration tools (Slack, Jira, Confluence, LMS platforms).
- Excellent communication and storytelling skills in English.
- Creative mindset and attention to detail — you care about both structure and emotion.
Nice to have:
- Experience in global or distributed teams.
- Hands-on work with analytics (survey data, onboarding metrics, etc.).
- Experience designing learning or cultural programs.
- Russian language.
