Job Summary
As a Project & Service Administrator, you will provide essential administrative support for projects and service works, ensuring smooth delivery and exceptional customer experience. This role involves managing workflows, coordinating resources, maintaining accurate documentation, and acting as the primary contact for clients and internal teams. You will handle inquiries, manage expectations, and support various administrative tasks, including documentation and scheduling, for a Newcastle-based leader in utility metering and building automation services.
Must Have
- Provide administrative support across projects and service works
- Manage workflows, coordinate resources, and maintain accurate documentation
- Act as primary point of contact for clients and internal teams
- Build strong relationships with key stakeholders
- Handle customer inquiries and requests
- Ensure excellent customer service
- Manage customer expectations by communicating process timelines and updates
- Coordinate with suppliers, contractors, and schedule work orders
- Support administrative tasks including quotes, document control, stock management, and tender preparation
- Generate high-quality project documentation using MS Office Suite
- 5+ years of experience in project/service administration
- Sound understanding of project administration processes
- Strong computer skills including MS Office, Microsoft Teams, SharePoint
- Excellent verbal and written communication skills
- Strong organisational skills and ability to meet deadlines
- Ability to multitask, prioritise, and problem-solve
- Ability to work independently and efficiently
Good to Have
- Experience in the trades industry (BMS, Electricity Metering or HVAC)
- Experience with job costing programs and accounting software (Simpro and Xero)

About The Opportunity
As a Project & Service Administrator, you will provide administrative support across projects and service works, ensuring smooth delivery and exceptional customer experience. Acting as the primary point of contact for clients and internal teams, you will manage workflows, coordinate resources, and maintain accurate documentation throughout the project lifecycle.
Some of your responsibilities will include:
- Building strong relationships with key stakeholders.
- Handling customer inquiries and requests through various communication channels.
- Ensuring excellent customer service by interacting with clients and gathering project/service information.
- Managing customer expectations by communicating process timelines and updates.
- Coordinating with suppliers, contractors, and scheduling work orders
- Supporting various administrative tasks, including preparing quotes, document control, stock management, and tender preparation
- Generate high-quality project documentation, including reports and presentations using MS Office Suite
About You
The successful candidate will have:
- 5+ years of experience in a project/service administration with a sound understanding of project administration processes (invoicing, progress claims, purchase orders, ITPs, resourcing)
- Experience in the trades industry ideally within the BMS, Electricity Metering or HVAC industry (desirable)
- Strong computer skills, including MS Office, Microsoft Teams, SharePoint, etc
- Experience with job costing programs and accounting software (Simpro and Xero desirable)
You will also have:
- Excellent verbal and written communication skills
- Strong organisational skills and the ability to meet deadlines, multitask, prioritise and problem-solve
- The ability to work independently and efficiently with an initiative and result-oriented approach
