Job Description

As the Executive Assistant to the Managing Director, your mission will be to collaborate primarily with the Managing Director, but also with all senior studio leadership to improve the studio’s overall operations and to meet business goals and priorities. You’ll lead and coordinate the strategic planning process and ensure the alignment and execution of the studio’s key initiatives and performance tasks that allow the business to operate smoothly and to capitalize on growth opportunities.

As a member of the studio executive committee reporting to the Managing Director, you’ll influence the studio’s strategy and priorities, plus play a significant role in its long-term success.

What you’ll do:

  • Consolidate and prepare presentation material for various audiences across Ubisoft building on information from across the studio’s projects and operations, typically on a quarterly basis;
  • Assist the Managing Director in leading internal meetings (recurring studio leadership meetings, production and project updates, the annual studio roadmap review for the CEO and HQ, etc.) by curating supporting content;
  • Attend meetings to ensure relevant information is documented and shared with the MD and the studio executive team;
  • Collaborate with the MD and the studio executive team to organize and facilitate annual strategic planning activities, including setting agendas, preparing content and identifying key priorities;
  • Working closely with the Managing Director, execute special projects, write speeches, and post to social media;
  • Promote collaboration, effective decision-making and consensus on vision by providing background material, tracking action items and reviewing in-session content when necessary;
  • Recommend and implement the most appropriate methods to track performance metrics and provide regular updates to core projects and key initiatives to the studio leadership team;
  • Act as guardian of the Managing Director’s schedule and facilitate logistics of special events and occasionally contribute to administrative duties, while primarily focusing on core responsibilities;
  • Manage scheduling, calendars, and logistical arrangements for meetings, lunches, and other events for the Managing Director.

Qualifications

  • A university degree in Business Administration or a related field;
  • Experience in the entertainment industry or video games is preferred;
  • The ability to eloquently express yourself both written and orally;
  • Significant project management and business strategy skills, such as planning and negotiation;
  • Extensive experience in aligning and prioritizing strategies, leading meetings and planning new opportunities;
  • An innovative spirit that drives you to explore and implement optimized ways of doing things;
  • Excellent presentation, interpersonal, and English communication skills;
  • An inclusive, influential, and inspiring leadership style that allows you to rally people around common goals;
  • Effective cross-departmental collaboration: you can easily cooperate with members from all disciplines and organizational levels;
  • Consideration of different perspectives before acting on new ideas;
  • Flexibility to respond to continuous market changes and quality expectations.
