Job Description

Onward Search is seeking an Event Coordinator for a 6-month hybrid contract in El Segundo, CA, with a global consumer products company. This role supports the Corporate Events and Philanthropy team, focusing on event planning, logistics, and administration for company-wide programs. The coordinator will manage executive calendars, coordinate meetings, organize corporate events, process invoices, prepare expense reports, and arrange travel. This is an exciting opportunity to contribute to world-class events and experiences.
Must Have:
  • Bachelor’s degree in Public Relations, Communications, Hospitality, English, or related field
  • 2+ years of administrative or event coordination experience, supporting executive-level leaders
  • Manage executive calendars and coordinate meetings across multiple time zones
  • Communicate professionally with internal and external partners
  • Schedule recurring meetings and organize logistics for corporate events and trade shows
  • Process purchase orders, track invoices, and assist with budget documentation
  • Prepare and submit executive expense reports accurately and on time
  • Coordinate travel arrangements, including flights, lodging, and ground transportation
  • Support event planning and execution from concept through completion
  • Collaborate with C-suite assistants and cross-functional departments
  • Provide back-up administrative coverage as needed
  • Willingness to travel occasionally (2–3 times per year)

  • Communicate professionally with internal and external partners via phone and email.
  • Schedule recurring meetings and organize logistics for corporate events and trade shows.
  • Process purchase orders, track invoices, and assist with budget documentation.
  • Prepare and submit executive expense reports accurately and on time.
  • Coordinate travel arrangements, including flights, lodging, and ground transportation.
  • Support event planning and execution from concept through completion.
  • Collaborate with C-suite assistants and cross-functional departments to ensure alignment.
  • Provide back-up administrative coverage as needed.

Event Coordinator Qualifications:

  • Bachelor’s degree in Public Relations, Communications, Hospitality, English, or a related field.
  • 2+ years of administrative or event coordination experience, preferably supporting executive-level leaders.
  • Strong multitasking and time-management skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Canva.
  • Calm under pressure, proactive, and team-oriented.
  • Ability to handle confidential information with professionalism.
  • Willingness to travel occasionally (2–3 times per year).
