Job Description

The Assistant to the CEO provides high-level administrative support. Key responsibilities include managing the CEO’s calendar, coordinating meetings and travel, acting as a liaison with stakeholders, handling confidential information, drafting correspondence, organizing communications, assisting with board materials, and coordinating executive communications. The role requires exceptional organizational skills, discretion, and the ability to handle multiple priorities in a fast-paced environment. The ideal candidate will be proactive and detail-oriented.
Must have:
  • Manage and maintain the CEO’s calendar, scheduling meetings and travel
  • Coordinate and prepare materials for meetings, presentations, and reports
  • Handle confidential information with high discretion and professionalism
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Good to have:
  • Multilingual abilities are a plus
  • Bachelor’s degree in Business Administration or related field

Job Description

Position Summary:
The Assistant to the CEO provides high-level administrative support to the Chief Executive Officer, ensuring efficient operation of the executive office. This role requires exceptional organizational skills, discretion, and the ability to handle a wide range of administrative and executive support-related tasks. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Handle confidential information with a high degree of professionalism and discretion.
  • Draft, review, and manage correspondence on behalf of the CEO.
  • Organize and prioritize incoming communications, ensuring timely responses.
  • Assist with the preparation of board materials, agendas, and minutes.
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
  • Perform other duties as assigned to support the CEO and the executive team.

Preferred Skills:

  • Excellent written and verbal communication skills.
  • High level of discretion, integrity, and confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Multilingual abilities are a plus.
  • Ability to work flexible hours to accommodate the CEO’s schedule.

Qualifications

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.

  • Proven experience as an executive assistant or in a similar role supporting C-level executives.

  • Strong organizational and time-management skills with the ability to multitask effectively.

  • Excellent written and verbal communication skills.

  • High level of discretion, integrity, and confidentiality.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Strong problem-solving skills and attention to detail.

  • Ability to work independently and as part of a team.
