Job Summary

This role is crucial for creating an outstanding visitor experience at Dun & Bradstreet's Frankfurt office. The Reception & Office Management Specialist will be responsible for all reception duties, ensuring a friendly and professional atmosphere for every guest. Additionally, the role involves supporting the Workplace team with diverse administrative tasks, contributing to smooth office operations and upholding the company's values. Must Have

  • Professionally manage reception and visitor experience.
  • Organize on-site events, prepare meeting rooms, and manage catering.
  • Handle incoming and outgoing post, deliveries, and office material management.
  • Manage site security, access cards, keys, and health & safety measures.
  • Act as fire safety assistant, first aider, and risk assessor.
  • Support ESG/ISO initiatives and organize local environmental activities.
  • Process invoices, onboard new suppliers, and oversee service providers.
  • Possess professional experience in service-oriented industries.
  • Demonstrate strong customer orientation and service mindset.
  • Very good German and English language skills (written and spoken).
  • Ability to work independently and manage administrative tasks autonomously.
  • Proficient in Microsoft Office and good organizational skills.
  • Excellent planning, organizational skills, punctuality, and time management.

About the Role

Create an outstanding visitor experience in our D&B office in Frankfurt. In this role, you will take responsibility for the reception and support the Workplace team with diverse administrative tasks. With your commitment, you will ensure a friendly and professional atmosphere, so that every guest feels welcome and remembers D&B positively.

Main Tasks:

  • Reception and Visitor Management: Greet visitors and ensure all needs are professionally met.
  • Event and Office Coordination: Organize on-site events, prepare meeting rooms, manage catering and inventory control.
  • Post and Material Management: Process incoming and outgoing mail, deliveries, and ensure the availability of office supplies.
  • Security, Regulations, and Sustainability: Manage site security, access cards, keys, as well as health and safety measures. Take on the role of fire safety assistant, first aider, and risk assessor. Provide clear workplace information, support ESG/ISO initiatives, and organize local environmental activities.
  • Supplier and Maintenance Management: Process invoices, oversee the onboarding of new suppliers, and monitor service providers and cleaning services.

  • Professional experience in a similar environment or in service-oriented industries such as hospitality, gastronomy, or customer service
  • Strong customer orientation and service mindset
  • Very good language skills in German and English (written and spoken)
