The Workplace Coordinator plays a key role in creating and maintaining a welcoming and well-organized office environment for the Office of the CEO and PlayStation Studios. This individual will be responsible for ensuring that office visitors and staff have a positive experience through efficient office management, hospitality services, and liaison duties between departments. This role requires you to be on-site 5-days a week.
What you will do
- Visitor Management: Meet and greet visitors, ensuring they are welcomed and directed appropriately.
- Refreshments & Snacks: Prepare and serve refreshments to guests, as needed, and monitor office refreshments and snacks. Regularly restock supplies to meet the needs of the office.
- Weekly Orders: Order and arrange fresh fruit and flowers weekly to enhance the office environment.
- Coffee Station Maintenance: Ensure the coffee machine is maintained and stocked with related supplies such as coffee, sugar, milk, etc.
- Catering Coordination: Organize catering services for meetings and on-site events, ensuring all food and beverages are served as planned.
- Vendor Management: Build and maintain positive relationships with office vendors, ensuring timely delivery of products and services.
- Event Support: Assist with pre-event setup and post-event cleanup to ensure smooth operations.
- IT Liaison: Collaborate with the IT department for any technical issues that arise on the day of events or meetings.
- Facilities Coordination: Work with the Facilities team to manage artwork, displays, and general office upkeep, ensuring the workspace is aesthetically pleasing and functional.
- Maintenance Reporting: Identify and report any maintenance issues to the appropriate departments to ensure timely resolution.
- Office Cleanliness: Ensure communal areas such as meeting rooms, kitchens, and lounge spaces are kept neat, orderly, and presentable at all times.
- Delivery Management: Manage deliveries, including receiving packages and removing packaging to maintain an organized space.
Working Conditions
- This role requires the individual to be present in the office during core business hours.
- May require some flexibility for early morning or late evening event support.
Who you are
- Proven experience in an office support or hospitality role is preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Excellent interpersonal and communication skills.
- Proactive and able to work independently, as well as part of a team.
- Basic understanding of office equipment and systems (IT, coffee machines, etc.).
- Familiarity with vendor management and event coordination is an advantage.
