Job Summary

Job Description

The Administrative Assistant is a central point of contact for all administrative tasks at Disney Research | Studios (DRS) in Zurich. Responsibilities include procurement and accounts payable, employee and research partner onboarding/offboarding, infrastructure maintenance, and event management. The role requires coordination of employee and research partner onboarding/offboarding, interfacing with HR, IT, Legal, authorities, and stakeholders. Processing vendor invoices, managing supplier accounts, and procurement are key. Ensuring efficient operations, managing relationships with landlords and external service providers, planning and executing internal/external events, organizing meetings, and handling general office administration are also crucial.
Must have:
  • KV-Ausbildung or equivalent
  • Meticulous & thorough work
  • Strong execution, manages complexity
  • Experience in admin role (ideally several years)
  • Knowledge of Swiss business practices
  • Fluent German & English
  • Proficient in MS Office

Job Summary:

Administrativer Mitarbeiter (m/w/d) 

Der Administrative Mitarbeiter (m/w/d) ist eine zentrale Ansprechperson für alle administrativen Aufgaben im Forschungslab von DisneyResearch|Studios (DRS). Dazu gehören insbesondere Beschaffung und Kreditorenwesen, Ein- und Austritte von Mitarbeitenden und Forschungspartnern, die Instandhaltung der Infrastruktur sowie das Event-Management. 

Der Starttag ist verhandelbar und wird im Bewerbungsprozess besprochen. 

 

Wir erwarten eine Bereitschaft, primär (4 Tage) in unserem Büro in Zürich zu arbeiten.  

 

Zu den Aufgaben gehören im Wesentlichen 

 

  • Koordination der Ein- und Austritte von Mitarbeitenden und Angehörigen von Forschungspartnern. Schnittstellenmanagement mit HR, IT, Legal, Behörden und anderen Stakeholdern. 

  • Bearbeitung der Kreditorenrechnungen, Lieferanteneröffnungen und Beschaffungswesen 

  • Sicherstellung eines sicheren und effizienten Betriebs, Management der Beziehungen zu Vermietern und externen Dienstleistern wie Reinigungsfirmen und Handwerkern. 

  • Planung, Organisation und Durchführung interner und externer Veranstaltungen. 

  • Organisation von Meetings sowie Empfang und Betreuung von Gästen und Besuchern. 

  • Allgemeine Büroadministrationsarbeiten. 

 

Erforderliche Fähigkeiten & Erfahrung 

  • KV-Ausbildung, relevanter Bachelor-Abschluss oder vergleichbare Arbeitserfahrung 

  • Sorgfätige und gründliche Arbeitsweise 

  • Umsetzungsstark und behält den Überblick in einem schnelllebigen und komplexen Umfeld 

  • Idealerweise mehrere Jahre Erfahrung in einer administrativen Rolle 

  • Erfahrung mit Schweizer Geschäftspraktiken 

  • Sehr gute Deutschkenntnisse, in Wort und Schrift sowie verhandlungssichere Englischkenntnisse  

  • Sehr sicher im Umgang mit gängiger Office-Standardsoftware (z.B. MS Office)
