PTW Canada est à la recherche d'un(e) assistant(e) administratif(ve) pour gérer tout le soutien opérationnel administratif de notre studio de Montréal, situé au cœur du quartier du Mile-End.

Ce poste fait partie intégrante de la gestion des services et des processus qui soutiennent l'activité principale de notre organisation, et garantit l'environnement de travail le plus approprié pour les membres de notre équipe et nos activités. Sous la responsabilité directe de notre gestionnaire des installations, vous travaillerez également en collaboration avec tous les départements de soutien de l'entreprise. Ce que vous ferez

  • Vous représenterez le bureau de PTW Montréal en tant que premier point de contact pour les membres internes et les visiteurs externes
  • Communiquer poliment et professionnellement par téléphone, par courriel et en personne avec les fournisseurs et les membres de l'équipe.
  • Coordonner les services centraux essentiels tels que la réception, la sécurité, l'entretien, la coordination du nettoyage et la restauration
  • Présenter le studio aux nouveaux membres
  • S'assurer que l'installation répond aux exigences de santé et de sécurité et que les installations sont conformes à la législation pour assurer la sécurité de notre équipe
  • Au besoin, répondre de manière appropriée aux urgences ou aux problèmes urgents du bureau au fur et à mesure qu'ils surviennent et faire face aux conséquences
  • Maintenir un inventaire adéquat pour les fournitures de bureau et de cuisine et l'organisation des stocks
  • Recevoir et organiser les livraisons et le courrier
  • S'occuper des livraisons et des récupérations d'équipements de télétravail, en assurant l'efficacité de nos équipes.
  • Aider à l'organisation d'événements en personne au bureau et à l'extérieur, ainsi qu'à l'organisation d'événements en ligne
  • Assurer le respect des normes d'hygiène et des mesures COVID
  • Autres responsabilités administratives au besoin

  • Expérience en administration ou en réception un atout
  • Vous pouvez gérer efficacement les informations confidentielles
  • Vous avez de fortes aptitudes relationnelles et une excellente communication écrite et verbale en anglais et français
  • Vous avez des compétences exceptionnelles en organisation et en gestion du temps
  • Vous êtes une personne qui aime résoudre des problèmes et anticiper les besoins avant qu'il ne soit demandé
  • Maîtrise de Microsoft Office (notamment Excel)

PTW Canada is in search of an Administrative Assistant to manage all administrative operational support for our Montreal Studio in the heart of the Mile End area.

This role will be an integral component managing services and processes that supports the core business of our organization and ensuring the most suitable working environment for our team members and our activities. Reporting directly to our Facilities Manager, this role will also work in collaboration with all corporate support departments. What you’ll be doing

  • Represent the PTW Montreal office as the first point of contact for internal members and external visitors
  • Communicate politely and professionally via phone, e-mail, and in person with vendors and team members
  • Coordinate essential central services such as reception, security, maintenance, cleaning coordination and catering
  • Presenting the studio to new members
  • Ensure our facilities meet the Health & Safety requirements to keep our team safe
  • Respond appropriately to emergencies or urgent issues that may arise in the office and manage the consequences
  • Organize stock and maintain adequate inventory for office and kitchen supplies
  • Receive and organize deliveries and mail
  • Deal with WFH equipment deliveries and retrievals, ensuring our teams operate efficiently
  • Assist in-person events in the office and outside; as well as online events
  • Ensure hygiene standards and COVID measures are respected
  • Other administrative responsibilities as needed

What we’re looking for

  • Experience in administration or reception work is an asset
  • Bilingual – English and French written and verbal communication skills
  • You can effectively manage confidential information
  • Strong interpersonal skills, and excellent written and verbal communication in English and French
  • You have exceptional organizational and time management skills
  • You have the ability to multi-task and prioritize work
  • You are a problem solver and can anticipate needs before requested
  • Proficiency in Microsoft Office (particularly in Excel)
