The AP Staff Accountant is primarily responsible for working within our end-to-end purchase to pay process. The AP Staff accountant will play a critical role in our finance team, ensuring accurate and timely processing of invoices, expense reports and vendor payments. They will be responsible for assisting with bill processing, preparing weekly payment runs and processing payments within our treasury portals. Further, this role will assist in updating vendor payment templates, updating payment information on the banking portal, review vendor information for accuracy, and operate SOX controls.
The ideal candidate will have a strong attention to detail, passion for accuracy, advanced excel skills, a desire to learn and ensure accurate payment to vendors.
The role will support the Finance Manager, Milan:
Receive, review, and verify vendor invoices for accuracy, proper authorization, and adherence to company policies.
Maintain vendor records, respond to inquiries, and ensure timely resolution of discrepancies.
Prepare and process payments through our treasury management portals while adhering to payment schedules.
Review and process employee expense claims, ensuring compliance with company travel and expense policies.
Perform regular reconciliation of AP accounts.
Assist with month-end closing by providing AP reports and supporting documentation.
Ensure adherence to Italian financial regulations and company internal controls.
Work closely with the procurement, event management, and finance teams to ensure smooth operations.
Input and organize payment runs with multiple banks (3 +)
Review and approve invoices daily
Respond to various ad-hoc requests
You Have These
Minimum 1-2 years of progressive AP experience
Bachelor’s degree in Accounting, Finance, or related preferred
Strong analytical and accounting skills, as well as excellent attention to detail
Experience with Treasury Management Systems and accounting ERPs
Proficient in Microsoft Office, specifically Microsoft Excel
Ability to learn and digest new things quickly
Strong organizational skills with ability to multi-task
Ability to work on multiple tasks in a deadline-driven environment while maintaining a high level of precision.
Excellent verbal and written communication skills, ability to work/communicate with various departments

NetSuite accounting software knowledge
Knowledge of Italian tax regulations (e.g. VAT)
Eagerness to be resourceful
Excellent organizational skills
Process orientated and able to manage policies through our end-to-end procurement process
