Job Summary
HOLOGATE is seeking a structured and responsible HR Manager for the People & Culture department to holistically manage operational HR work, including labor law topics. This role serves as the central contact for employees and managers on all HR and labor law issues, implementing HR processes, ensuring legal compliance, and actively contributing to the professional, compliant, and employee-oriented development of the organization. The position is hands-on and operational, requiring responsibility, independence, and proximity to daily business.
Must Have
- Holistic management of the employee lifecycle
- Maintenance of employee data in HR systems like Personio
- Creation and management of employment contracts and related documents
- Handling of absences, time tracking, and sick leave
- Addressing employee inquiries on HR policies and contracts
- Preparation of HR documents for payroll and special cases
- Independent handling of labor law issues
- Advising management and employees on labor law topics
- Ensuring compliance with labor law, data protection, and internal guidelines
- Monitoring labor law changes and providing recommendations
- Development and maintenance of HR policies and internal documents
- Creation and maintenance of job postings
- Coordination with external recruiters
- Candidate screening and interview management
- Organization of the full onboarding process
- Support for annual feedback and development discussions
- Proficiency in HR tools, ideally Personio
- Very good knowledge of German labor law
- Native German and very good English language skills

- Experience in an international HR environment
- Experience collaborating with external labor law firms
- Knowledge in payroll preparation and HR reporting
- Experience with Jira / Confluence

About the Position
HOLOGATE is looking for a structured, responsible HR Manager (m/f/d) for the People & Culture department, who will holistically manage operational HR work, including labor law topics.
In this role, you are the central contact person for employees and managers on all HR and labor law issues. You implement HR processes operationally, ensure legal certainty, and actively contribute to the professional, compliant, and employee-oriented development of our organization.
The position is deliberately hands-on and operational – with responsibility, independence, and proximity to daily business.

Your Responsibilities
Operational HR & Personnel Administration
- Holistic management of the employee lifecycle from entry to exit
- Maintenance and administration of all employee data in Personio as well as in digital and physical personnel files
- Creation, administration, and adjustment of employment contracts, contract amendments, supplementary agreements, and references
- Management of absences, time tracking, overtime, allowances, and sick leave (incl. eAU verification)
- Processing employee inquiries regarding time, leave, contracts, and HR policies
- Preparation and coordination of all HR-relevant documents for payroll, company pension schemes, parental leave, and special cases
Labor Law & Compliance
- Independent handling of labor law issues in daily business
- Advising managers and employees on labor law topics (e.g., contract interpretation, warnings, terminations, parental leave, maternity protection)
- Preparation and implementation of labor law measures in coordination with management and external specialist lawyers
- Ensuring compliance with labor law, data protection, and internal guidelines
- Monitoring changes in labor law and deriving recommendations for action for the company
- Creation, maintenance, and further development of HR policies, works agreements, and internal documents
Recruiting & Onboarding
- Creation and maintenance of job postings
- Coordination of external headhunters and recruiting partners
- Screening of applications as well as organization and execution of interviews
- Organization of the entire onboarding process (welcome emails, Jira tasks, Personio setup, contract documents)
- Execution of the first day of work including welcome presentation
- Execution of 4-week P&C feedback sessions
Personnel Development & Retention
- Organization and support of annual feedback and development discussions together with managers
- Support for individual development planning
- Participation in retention measures and employee surveys
HR Organization, Tools & Reporting
- Structured work with Personio, Jira, Confluence, SharePoint, and Outlook
- Maintenance of HR workflows, templates, and documentation
- Creation of regular HR reports (Weekly / Monthly / Ad-hoc)
- Participation in P&C newsletters, internal communications, and presentations
- Support for audits, ISO topics, occupational safety, and internal audits
International & Special Topics
- Application for A1 certificates, support for secondments
- Support for residence and work permits including authority coordination
- Ensuring correct time recording for business trips
Your Profile
- Completed studies in Human Resources Management, Economics, Law, or a comparable qualification
- Several years of professional experience in an operational HR / P&C role with a focus on labor law
- Very good knowledge of German labor law
- Experience in independently handling labor law issues
- Proficient in HR tools, ideally Personio
- Very structured, conscientious, and discreet way of working
- Strong communication and consulting skills
- Native level German and very good English skills
