Facilities Management:
The core objective of this role is to oversee the daily operations of the organisation's facilities, including maintenance, repairs, and upgrades.
Ensure all planned, reactive and project works are undertaken in a fully compliant and efficient manner and to deliver service excellence in day-to-day operations and reporting.
Liaise with the FM lead/supervisor to support and develop the onsite team to enable them to excel in their roles.
To develop, implement and manage all PPM, corrective and reactive maintenance activities utilising the FM providers system.
Manage service providers who deliver facilities services, ensuring full compliance with all requirements.
Prepare budgets and manage financial performance of the FM contract
Conduct regular site audits to ensure quality of FM services are being delivered to expected standards.
Ensure that project works are completed on time, within budget and to the required quality levels.
Liaison with and support of the Firm’s Environmental Health & Safety function and programmes
Support Services:
Oversee operational support services including the
Management of the retrieval, filing, destruction and maintenance of the firm’s filing processes.
Delivery the firm’s print, office supplies and associated services to the business
Manage mail operations including the collection, delivery and routing of all internal and external post, office logistics and courier requirements.
Manage contracts and service level agreements for external service providers
Experiences and skills:
Degree level qualifications in FM, technical/engineering and/or business administration or related disciplines are highly desirable.
A minimum of 5 years experience in the delivery of similar services at this level.
Previous experience managing contractor / client relationships.
Experience in managing and developing high performing teams
Experience and understanding of international accreditation systems
Experience in managing Health & Safety aspects of the role
Excellent IT, administration and communication skills.
Assist in the production and delivery of internal and external reports
Monitor and allocate work in a timely manner.
Liaise with colleagues to update on tasks and projects where required
Monitor key metrics and identify trends and opportunities for improvement.
Excellent communications and interpersonal skills
Ability to manage budgets and negotiate contracts
