Job Summary:
PwC offers an exciting opportunity for an individual to be a part of the Channel Islands firm’s growing Operations team (within the wider Business Enablement function), who is passionate about delivering the business priorities for senior stakeholders across PwC.
The main purpose of the role will be to provide organisational and administrative support primarily to the Chief Operating Officer (COO), Territory Senior Partner (TSP) and Chief Strategy Officer (CSO). This will include the smooth running of the Office of the COO.

The role requires high levels of proactivity to support the ambitious growth plans of the Channel Island firm. In this role you would typically be leading, participating in, or driving projects, events and stakeholder workloads, requiring attention to detail and a high levels of business acumen and technical capability.
This is a high-profile role where the successful candidate will be required to manage their own and others workloads, act with integrity, confidence, complete confidentiality, autonomy, and proactively identifying areas where they can improve productivity, efficiency or control through their support. An understanding of the firm’s strategy and the business objectives of the COO, TSP & CSO will help the candidate prioritise their activity and successfully manage the competing demands of the role.
Responsibilities:
Responsibilities include:
Work closely with the COO, TSP & CSO, as well as the Executive Support team, ensuring a thorough understanding of stakeholders and business priorities.
Ability to draft emails, review and monitor COO, TSP & CSO mailboxes, with the autonomy to make decisions or take actions to progress activities as required.
Executive management of COO, TSP & CSO diaries - ensuring they have all necessary documents for meetings and are well prepared.
Stakeholder meeting management, including preparation (e.g., briefing notes, slides, bios of meeting attendees) and attendance of meetings (e.g., producing minutes, transcribing recorded meetings and creating follow-up actions), when required.
Proactive research, organisation and delegation of travel logistics (including visas, accommodation, flights, taxis etc).
Ensuring maintenance of key networks and creating advanced working relationships with internal and external clients.
Ownership of documents - Draft, produce and proofread internal and external correspondence/documentation, e.g., leadership presentations/briefing documents, for quality, accuracy and relevance (Ensure that relevant stakeholders/teams are consulted, documents are brand compliant and adhere to PwC guidelines, working closely with the Marketing & Business Development team and other subject matter experts as and when required).
Apply strong project management skills to coordinate activities within the Office of the COO - including carry out specific projects, research and attending meetings, to understand requirements, delivery timescales, supporting actions and regular interaction with project teams.
Effectively collating management information reports and dashboards, presenting findings to stakeholders, teams and leadership.
Coaching and Feedback - Be a coach to provide developmental support to an individual. Provide regular feedback on team performance based on feedback.
Communications and Correspondence - Support COO, TSP & CSO with the drafting and management of communications and correspondence.
Using initiative to ensure that the COO, TSP & CSO are aware of important, urgent or sensitive issues.
Collective responsibilities - shared responsibilities with wider Executive Support team; to manage collectively across the team
Event Management for the Office of the COO, TSP & CSO - organising events such as Partner/Executive Leadership offsites: arranging invite lists, liaising with external suppliers, booking venues and ordering refreshments. Delegating to other Executive Support Team members when required.
Any other ad hoc administration duties as requested.
Ad-hoc responsibilities - additional responsibilities which can be taken on once fulfilling all core and collective responsibilities
Miscellaneous Support - Willing to take on ad-hoc responsibilities as they arise e.g., admin tasks, supporting stakeholders with managing social media accounts via SMARP etc, as well as supporting leadership when unforeseen circumstances arise.
Expenses - When required, support stakeholders with the timely preparation of expenses and invoice claims, ensuring compliance to relevant expense policy.

Qualifications & Certifications:
Confidence in using digital technology and solutions - experience with desktop applications is essential (Microsoft 365 experience is desirable).
GSCEs or equivalent.

Strong technical skills with a growth mindset and curiosity to continually upskill and drive both in the firm's systems including but not limited to Microsoft 365, Workday, Concur (expense system), Alteryx, Tableau, Power BI and keen to remain at the forefront of evolving technology.
Strong team player - collaborate effectively as part of the wider Executive Support team to support colleagues, ensuring a seamless service is provided to business stakeholders.
Proactively share knowledge with colleagues, as well as promoting team well-being and the sense of one team within the Executive Support team.
Exceptional organisational skills and high levels of self-motivation.
Ability to remain calm in a crisis situation and take appropriate / timely decisions.

Desirable skills:
Proven experience working at executive level or equivalent is desirable.
Experience with minute taking.
Commercial Acumen and an understanding of the link between operational activities and the firm strategy and success.
Basic capability and understanding of data manipulation, visualisation and insights.
Flexibility of hours for ad-hoc cover to ensure the COO, TSP & CSO are supported sufficiently.
Secretarial experience is desirable, but not essential.
Travel Requirements:
You will be required to travel to the UK and other Channel Islands from time to time, to attend or organise events and strategy meetings.
