Job Description

Casumo is seeking a dynamic Office Coordinator to join their team. This role ensures the smooth operation of the Gibraltar office and supports the HR function to enhance employee experience. Responsibilities include office management tasks such as maintaining a tidy and safe environment, managing supplies, overseeing maintenance, and coordinating internal events. The role also involves HR support, including coordinating onboarding/offboarding processes and acting as a liaison for employee queries. This is a part-time position, approximately 20 hours per week.
Must have:

  • Coordinate onboarding and offboarding processes
  • Act as a liaison between employees and Global HR Team
  • Commit up to 20 hours per week

  • People's person with an outgoing personality

Position Overview:
As our Office Coordinator, you will be the go-to person for ensuring our Gibraltar office runs smoothly while also supporting the HR function to enhance our employee experience. You’ll play a key role in office operations, onboarding, event support, and HR ambassadorship. 

This role is available on a part-time basis, 20 hours per week, on an average of 4 hours per day, which can vary from mornings to afternoons.


Responsibilities:

Office Management:

  • Maintain a tidy, safe, and welcoming office environment.

  • Manage the cleaner and ensure cleanliness standards are upheld.

  • Receive and log mail, packages, and deliveries.

  • Monitor and replenish office and grocery supplies.

  • Oversee maintenance and repairs to ensure a functional workspace.

  • Support office budgeting and expense tracking.

  • Coordinate and support internal events and meetings (logistics, attendee lists, on-the-day support).

  • Provide general administrative support across departments.


HR Support:

  • Coordinate onboarding and offboarding processes.

  • Act as a liaison between employees and the Global HR Team for queries and support.

  • Support ongoing HR and employee experience projects.

  • Carry out ad-hoc duties as needed to support the team.


Requirements:

  • Preference will be given to candidates who have previous experience in HR and Office Management roles

  • You are available to commit up to 20 hours per week, on an average of 4 hours per day, which can vary from mornings to afternoons.

  • Flexible to work after office hours for events or activities.

  • Proficient English communication skills, both written and spoken.

  • Basic communication skills in Spanish.

  • A hands-on enthusiast, approaching tasks with energy and enthusiasm.

  • A people's person at heart, with an outgoing personality who will act as an HR ambassador, creating positive energy in the office environment.
