Key Responsibilities
Pre-Alert Document Handling
Check pre-alert documents received from the supplier and endorse them to the vendor/broker.
Coordinate with Customer Service (CS) or the supplier for any missing documents, making follow-ups and raising issues with the received shipping documents.
Document Management
Monitor and handover original documents to the vendor/broker.
Check CDT and PRE-SAD received from the vendor/broker.
Forward CDT and PRE-SAD to Maersk4PL for approval.
Endorse approved CDT to the vendor.
Shipment Monitoring
Monitor shipments and the lodgment of entry, and oversee DO/GP processing by the vendor/broker.
Collate documents for endorsement to Execution (Trucker) for container/cargo release and delivery.
Follow up and confirm pre-alert billing from the vendor.
Export Documentation
Review and check SKU HS Code and PER availability on the On-Time Shipment (OTS) file received from Maersk4PL.
Monitor the pull-out and loading of empty containers.
Forward the Proforma Invoice (PFI) from Maersk4PL to the vendor/broker for Draft ED creation.
Check and confirm the Draft ED provided by the vendor/broker.
Monitor the export shipment file in the BOC Portal until Authority to Load (ATL) is received.
Forward export documents to CS for uploading to the carrier site.
Monitor ETD of export shipments.
Documentation Creation and Dispatch
Create a packing list from shipping documents received from Maersk4PL.
Send complete shipping documents to CS for the destination team.
Forward 2nd Leg Invoice and other documents from Maersk4PL to the vendor/broker for CO creation.
Check, revise, and forward Draft CO to the destination team for approval.
Advise the vendor to proceed with Final CO processing, monitor until received, and forward to the destination for approval before dispatch.
Update and send the Status Shipment Report (SSR) daily.
Update and send KPI and milestones to Maersk4PL daily.
Send weekly duties and taxes report to P&G every Monday.
Update and send the MTD KPI report to Maersk4PL every Friday.
Reporting and Record-Keeping
Collate documents, edit filenames, and convert to PDF for uploading to the P&G SharePoint monthly.
Print hard copies of shipping documents for dispatch to P&G.
Update and follow up on the post-entry status of shipments with the vendor/broker weekly.
Update and monitor the CONDEP file.
Provide additional reports and assistance as requested by customers.
Who we are looking for
License: Must be a licensed Customs Broker.
Experience: At least 3 years of experience in handling customs processes.
Education: Relevant educational background is a plus.
Skills:
Proficient in English (written and verbal).
Knowledgeable in systems such as Modal Tool (advantageous).
Strong decision-making skills.
Effective people management and stakeholder handling.
Knowledgeable in government agency systems.
