About the Role

Springer Nature’s Indexing team, as part of the Editorial Excellence, seeks an enthusiastic, customer-focused individual to join the team as an Indexing Associate.

Getting Springer Nature content indexed in trusted, high-quality Abstracting & Indexing services ensures our content reaches the most relevant and extensive audiences. Indexing Associate plays a crucial role in achieving this objective and is an integral member of the Indexing team, serving as the primary point of contact for both internal and external stakeholders, including research authors, journal publishers, editors, and key contacts at various indexing services. The ideal candidate will possess a strong passion for research and publishing, demonstrate proficiency in data management, and excel in a collaborative, team-oriented environment where exceptional customer service is essential. Additionally, the successful candidate will embrace creativity, innovation and be receptive to new ideas that drive progress. The role reports to the Head of Indexing.

Roles Responsibilities-

1. Determining journal readiness for Abstracting & Indexing services. Responsibilities include:

  • Reporting to the Head of Indexing and collaborating with the Indexing team on indexing data verification processes, coordinating data updates, ensuring data integrity, understanding team dynamics, and expectations.
  • Supporting the Indexing team in determining journal readiness for Abstracting & Indexing services by performing basic/initial evaluations utilizing various internal and external tools and systems and in the preparation of indexing applications
  • Understanding all the steps involved in the indexing process, from data collection to the final inclusion in databases. This involves mapping out each stage, identifying key tasks, tools used, and the flow of information.
  • Maintaining trackers for proper quality assurance by coordinating processes and reporting on results.

2. Customer engagement. Responsibilities include:

  • Liaising with internal and external stakeholders, external database partners, and colleagues in editorial, production, customer service, and Data Delivery System departments
  • Answering questions, resolving issues, and guiding various internal and external stakeholders and customer service teams to ensure processes and progress are communicated to all parties.

3. Process improvement and project management. Responsibilities include:

  • Maintaining indexing quality assurance by coordinating processes, adhering to research publishing industry standards, and reporting results.
  • Assisting in organizing the meetings with various Indexing stakeholders and preparing agendas, minutes for the meetings, and tracking pending items
  • Coordinating and monitoring projects to ensure timely completion
  • Participating in departmental and working group meetings, committees, task forces, and special projects as needed. Assists with administrative tasks for the workgroup.  Assists staff with basic departmental coverage as needed.
  • Contributing to a culture of continuous improvement by working to propose ways of improving (or building upon) existing processes, and identifying new ways of supporting indexing practices.

Educational Qualification: University degree in any discipline of Science or business administration.

Experience: 2+ years of experience

Skills:

  • Preferably knowledge/experience of the publishing industry, at least familiar with the scientific publication process
  • Familiarity with project management concepts and best practices. Project Management training preferred.
  • Interpretative skills: The ability to combine pieces of information to form general rules or conclusions (including finding a relationship among seemingly unrelated events)
  • Ability to think critically
  • Meticulous attention to detail
  • Excellent communication skills (verbal and written)
  • Excellent organizational skills
  • Excellent teamwork skills to deal with people at all levels of stakeholders
  • Ability to organize and prioritize numerous tasks
  • Ability to follow written instructions to learn various tasks without in-person training
  • Punctuality and reliability are required
