Job Description

The Opportunity: 
Provides operations support to the facility by completing a variety of administrative related activities.   

What Your Impact Will Be: 

The Operations Coordinator is responsible for providing day-to-day support to the Pennsylvania Distribution Center (PADC) Human Resources and Operations Team. This includes running reports, organizing data, ordering supplies, invoicing, coordinating events, partnering with vendors, and general office support. The Operations Coordinator will also be a proactive problem solver who can predict possible issues before they arise to ensure day-to-day functions run smoothly.  

  • Labor code reporting: Track and review employee total hours worked under various labor codes to ensure accuracy; run reports as needed.
  • Track and receive invoices, review purchase orders, prepare payment for vendors, and reconcile discrepancies as they arise; maintain accurate records where needed.
  • Communicate important business updates with employees via text message application and PowerPoint presentation via DC monitors.
  • Partner with external vendors for facility repairs; obtain financial approval from site leader as required.
  • Maintain strong relationships with vendors, service providers, and facility landlord.
  • Partner with DC Safety Supervisor on DC safety initiatives; safety first, last, and always.
  • Organizing DC engagement events and team bonding activities; partner with catering vendors when requested.
  • Review and import safety data sheets (SDS) to 3E system.
  • Provide general support 90% to DC Operations and 10% to Human Resources.
  • Other duties as assigned.

EDUCATION and/or EXPERIENCE 

  • High school diploma or general education degree (GED); or 1-2 years related experience and/or training; or equivalent combination of education and experience.

KNOWLEDGE AND SKILLS 

  • Able to collaborate with management, staff, customers, vendors, and corporate partners.
  • Strong knowledge in Microsoft Office; Excel, Microsoft and PowerPoint
  • Strong attention to detail.
  • Strong writing skills. Able to write reports and correspondences.
  • Strong reading skills. Able to read and interpret documents such as shipping documents, bills of lading, reports, inventory documents.
  • Ability to follow instructions.
  • Strong oral communication skills. Able to speak effectively before staff, management customers, vendors, and other corporate partners.
  • Able to analyses and interpret reports, graphs, and other data.
  • Strong and accurate data entry skills.
  • Experience working in a warehouse or logistics environment preferred.

  • Microsoft Office (intermediate or above)
