Job Description

As an Event Support Executive, you will support the team in planning and delivering events, ranging from large conferences to smaller gatherings. The role includes administrative support, communication, and hands-on event coordination. Responsibilities include coordinating event logistics, creating content, liaising with vendors and partners, communicating internally, promoting events, providing on-site support, and assisting with post-event activities such as collecting feedback and generating reports. This role requires a blend of skills in organization, communication, and hands-on execution, offering valuable experience in the event industry. You will be expected to be present on-site for extended hours during event days, where you'll need to remain active and mobile for the majority of the time.
Must have:
  • Bachelor’s degree in a related field.
  • Relevant experience in event coordination or a related field.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to adapt and resolve issues quickly.
Good to have:
  • Familiarity with virtual platforms, AV equipment, and other event technologies.

The Role

 

As an Event Support Executive, you will play a pivotal role in supporting our team to plan and deliver world-class events. From large-scale conferences to intimate gatherings, your skills in communication, creativity, and organisation will ensure our events run smoothly, leaving a lasting impression on all involved.

This role offers a blend of administrative support, communication, and hands-on event coordination, providing valuable experience in the event industry.

 

Role responsibilities

 

·       Event Coordination & Planning: Assist the event team in organising, planning, and executing events, ensuring all logistics are in place for seamless delivery.

·       Content Creation: Collaborate with marketing and content teams to draft content for event materials such as invitations, websites, promotional materials, and social media posts.

·       Vendor & Partner Liaison: Build and maintain relationships with event sponsors, exhibitors, hosts, and other external partners. Coordinate with them to ensure smooth collaboration throughout the event process.

·       Internal Communication: Support communication between internal departments and event stakeholders, ensuring all parties are aligned and prepared for the event.

·       Event Promotion: Assist in the creation and distribution of promotional materials, ensuring that events are well-publicised and attract the desired audience.

·       On-Site Support: Provide logistical support on the day of events, managing event setup, registration, and attendee needs, as well as troubleshooting any issues that arise.

·       Travel Coordination: If required, assist with travel arrangements for team members or event participants.

·       Post-Event Activities: Assist in collecting feedback from participants and partners, analysing event success, and generating reports for future improvements.

·       Any other duties that fall within the scope of the role.

 

Key skills and experience

 

·       Education: Bachelor’s degree in Hospitality, Event Management, Marketing, or a related field, is preferred.

·       Experience: Relevant experience of event coordination or a related field, with a demonstrated ability to manage multiple projects.

·       Organisational Skills: Strong attention to detail, ability to manage tasks efficiently, and meet tight deadlines.

·       Communication Skills: Excellent written and verbal communication, with the ability to work with diverse teams and stakeholders.

·       Problem-solving: Quick thinker with the ability to adapt and resolve issues as they arise during the event process.

·       Tech-Savvy: Familiarity with virtual platforms, AV equipment, and other event technologies is a plus.

·       Team Player: Able to work collaboratively with internal and external stakeholders to ensure event success.

·       Flexibility: Willingness to work long hours during events, with the ability to adapt to changing environments.
