This position plays a key role in creating processes and reviewing the event management technology platform to deliver our travel services effectively and efficiently to our clients and customers. The individual in this role must develop a deep understanding of how the On Location (Anthony Travel) business and processes best serve the needs of our clients and customers. This individual must have excellent organizational, communication and presentation skills. This position also requires critical skills which include the ability to collaborate effectively with others, structure and manage projects, training for new hires and processes, and learning to navigate technology offerings.

Essential Functions & Responsibilities

  • Evaluate and become familiar with existing business processes.
  • Map, document, and maintain internal processes to identify opportunities for improvement and help educate other associates.
  • Develop and deploy best practices and standards that support internal team management needs.
  • Provide project management for travel process improvements, technologies, and reporting tools.
  • Train/educate/support associates across On Location (Anthony Travel) on proprietary event management platform best practices, process improvements, and functionality that support effective operations and decision-making. Help to ensure associates understand and can adopt these new processes and technologies.
  • Continue to monitor and assess various processes to ensure they produce the desired outcome.
  • Create and maintain documentation on proprietary event management systems and event processes.
  • Serve as proprietary event management system administrator which includes troubleshooting issues, documenting solutions, and communicating system updates and information with the office. Conduct new hire training, assist in preparing enhancement planning documents that capture requirements, justification, scope of project, timeline, and costs.
  • Coordinate projects, issues, enhancements, and deadlines being met with third party systems vendor.
  • Explore innovative technologies that could add value to the existing reservation system for our clients and guests.
  • Prepare appropriate planning documents that define project requirements and justification, overall scope, project work plan and timeline, cost/benefit, staffing needs, status reporting, etc.
  • Maintains a professional and collaborative relationship with divisions across the office.
  • Work on special projects and other duties as necessary to achieve company goals as assigned by Senior Manager, Customer Service and Process Integration, Sports Experiences.
  • Coordinate communication with other departments to improve current processes.
  • Development, documentation and implementation of specific event processes and systems.
  • Collaborate with Event Housing and Customer Service Teams to identify improvement opportunities and develop effective training materials to impact results.

Other Duties and Responsibilities

  • Identification and implementation of operational efficiencies.
  • Drive focuses on continuous quality improvement.
  • Conduct monthly process and proprietary event management system training and refreshers.
  • Work with clients and Event Housing Team, as needed to identify specific needs and expectations.
  • Provide leadership / feedback on process development / improvement during meetings.
  • Manage communications sent out from proprietary event management system.

Travel

Must be flexible with work and travel schedule. Ability to travel for work during holidays. This position may require up to 10% travel.

Requirements

  • Bachelor's degree in computer science, Information Technology or equivalent experience preferred.
  • Exceptional people skills – a collaborative style and ability to communicate effectively at all levels with strong oral, written, and presentation skills.
  • Excellent general management skills, including planning, structuring work, developing standards and processes, measuring performance, developing skills, and team building.
  • Experience working in systems either as an end user or project manager. Comfortable with learning how systems work.
  • Excellent project management skills, including planning, estimating, measuring progress, troubleshooting, tracking results, and change management.
  • Excellent experience with analyzing business processes and structuring action plans to ensure processes are effective and efficient.
  • Enjoy improving processes and the way people work.
  • Problem Solving – ability to see the bigger picture to meet needs across teams.
  • Strong organizational skills and attention to detail. Monitor information while organizing time and resources efficiently to meet deadlines.
  • Ability to accomplish a task while demonstrating a thorough review of all teams involved.

Preferred Skills

  • Knowledge of HTML, API (Application Programming Interface), and Graphics.
  • Proficiency within Office 365
  • Familiarity with image-editing software.
  • Knowledge of event management or coordination with large groups
