Wargaming is looking for a positive, problem solver and enthusiastic Office Manager to strengthen the Wargaming Office Administration team in our Belgrade office!
The main tasks of the Office Manager are to be the first point of contact and to facilitate the smooth day-to-day running of the office including internal and external questions, supporting in-company processes, and communication. The Office Manager works closely with the Office Administration team on all aspects of the office – premises, equipment, facilities, office services, and supplies.
Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Manage company’s incoming and outgoing letters, packages, e-mails, phone calls, and other forms of communication
Daily supervision of conference rooms, general office areas, kitchens, and office supplies
Support employees with their ad-hoc requests for office inventory, working lunch, internal and external meetings
Prepare and administer documentation & archiving processes, set up comprehensive digital and hard copy filing
Manage different internal systems like Parking, Jira, access cards monitoring tools
Keep updated records of office expenses and costs
Act as the point of contact between the manager and internal/external clients for Chief of Staff Manage diary and schedule meetings and appointments for Chief of Staff
Proven work experience as an Office Manager (at least 2 years), or similar role in IT industry
Proficiency in Microsoft Office Suite
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills and attention to detail
Multitasking and time-management skills, with the ability to prioritize tasks
Discretion and confidentiality
Team player and customer service attitude
Fluent English language skills
Able to execute on projects, from the start to completion
Experience in office, procurement and vendor management
Proficiency in office software (Microsoft Office, Google Workspace)
Events planning experience is a plus
Proficiency in English
Russian language will be considered as advantage
Onsite (Monday-Friday, from 9am to 5pm).
