Job Description

As the VFX Coordinator, you will be joining an innovative generative AI startup at the forefront of filmmaking. Reporting to the VFX Producer, you will be responsible for coordinating projects like feature films, series, and commercial content. This role requires proficiency in maintaining projects in Flow Production Tracking Software, effective time management, and multitasking abilities. You will collaborate with cross-functional teams in both the US and UK locations. Key responsibilities include assisting in outsourcing work, overseeing vendor packages, maintaining email correspondence, creating project pages, running review sessions, taking notes, managing artist schedules, and coordinating deliveries.
Must have:
  • Assist in outsourcing work, including bidding and media management
  • Oversee vendor packages and manage communication with the Data IO team
  • Maintain daily email correspondence with vendors
  • Liaise between vendors and internal teams
  • Create project pages and playlists for review sessions
  • Coordinate and run review sessions
  • Take and distribute detailed notes
  • Manage the tasks and schedules of the internal artist team
  • Review Flow projects daily to ensure they are up to date
  • Schedule tasks and facilitate delivery of final materials
  • Organize internal and external meetings
  • Manage vendor contact lists
  • Create and track technical support tickets
  • Track invoices and payment status
Good to have:
  • Strong knowledge of Flow, RV, MediaShuttle, Excel, Google Suite, Zoom, Jira, Confluence
  • Previous experience in visual effects, editorial, or IO
  • In-depth understanding of live-action VFX workflow
  • Familiarity of common file formats and resolutions
  • Flexibility in working irregular hours
  • Ability to manage several projects concurrently
  • Basic Davinci Resolve editorial knowledge
  • Highly organized, proactive, detail-oriented
  • Multiple spoken language skills

Who You are Reporting To: VFX Producer

What we are looking for: As the VFX Coordinator you will be joining an innovative generative AI startup changing the future of filmmaking. The VFX Coordinator will report to the VFX Producer (LA), working closely with the Post Production, Pipeline, IO and Film Innovation teams. The VFX Coordinator will be responsible for the coordination of projects including feature films, episodic series, and commercial content. The VFX Coordinator must be adept at maintaining  projects in Flow Production Tracking Software, time management, and multi-tasking. This Coordinator must be able to work effectively and efficiently with our cross-functional teams in both the US and UK locations. 
Requirements:
  • Assist the VFX Producer in outsourcing work including bidding, media and management 
  • Oversee the sending and receiving of vendor packages in conjunction with the Data IO team
  • Maintain daily email correspondence with vendors
  • Liaise between vendors and internal teams and disseminate information in a timely manner
  • Create Flow project pages and playlists in multiple projects for daily review sessions
  • Coordinate and run review sessions 
  • Take and distribute detailed notes and following up on information as necessary
  • Managing the tasks and schedules of the internal artist team
  • Daily review of Flow projects to ensure statuses, assignments, notes and timelines are up to date
  • Work closely with the Producer/VFX Supervisors/IO teams to schedule tasks and facilitate delivery of final materials
  • Organize internal and external meetings (including those in multiple time zones)
  • Manage and distribute vendor contact lists for all associated projects
  • Create and track technical support tickets with the IO and Pipeline teams
  • Track invoices and payment status with the accounting department

Qualifications:
  • Strong knowledge of Flow, RV, MediaShuttle, Excel, Google Suite, Zoom, Jira, Confluence
  • Previous experience in visual effects, editorial or IO
  • In-depth understanding of live-action VFX workflow, processes/pipelines
  • Familiarity of common file formats and resolutions
  • Flexibility in working irregular hours to accommodate multiple time zones
  • Ability to manage several projects concurrently
  • Basic Davinci Resolve editorial knowledge is a plus

Interview Process  At Flawless, our team and interview process want to help you show your best self. We’ll dive into past projects and simulate working together.
Our interview process is three rounds with some casual Zoom (or in-person) coffee in between to get to know each other:  Recruiting Screen: 30-45 minute call with our recruiting team (We want to discuss your interests and motivations as well as the practical details and make sure that Flawless would be a good fit for you)
Hiring Manager Screen: 45-60 minutes digging into your past experience. Primarily asking you to talk through your past work and experience within the industry.
Team Interview: 1.5 hours onsite with our team. Discussing how you work and how you have approached different experiences in the past. We want to make sure that our environment will be right for you and that you will enjoy working here. We will also be keen to discuss your experience with Flow and understand how deep your knowledge of that platform is.
Your Recruiter and hiring manager will be your main point of contact and prepare you for interviews. You’ll meet 4 to 6 people from across the business. (We make sure that you have time in each interview to ask them questions). If we don’t give an offer, we’ll provide feedback!
