POSITION SUMMARY
The Daily Wire is looking for a highly experienced and professional Executive Assistant to support our Co-CEO. This role requires exceptional organizational skills, proactive problem-solving, and impeccable discretion in managing both personal and professional responsibilities for the executive. The Executive Assistant will act as a gatekeeper, manage a complex schedule, coordinate high-level meetings, handle confidential matters, and ensure smooth daily operations. With a focus on maximizing efficiency, this position involves coordinating travel, overseeing special projects, and working closely with other senior executives to contribute to the company's success. PRIMARY RESPONSIBILITIES
Professional Support
Serve as the primary point of contact for the Co-CEO, managing a complex calendar and scheduling appointments. Draft, edit, and manage high-level correspondence, emails, and communications on behalf of the Co-CEO. Assist the Co-CEO in preparing for meetings and organizing materials, ensuring all necessary documentation is readily available. Plan and manage detailed itineraries for both domestic and international travel, ensuring seamless experiences (including private aviation, accommodations, and logistics). Support ongoing projects by tracking progress, managing timelines, and coordinating initiatives across various departments and external partners (as needed). Manage monthly corporate expense reports, invoices, and reimbursements. File and retrieve corporate documents, records, and reports. Work closely with senior executives and department heads to execute the Co-CEO’s agenda.
Personal Support
Oversee personal appointments, family events, social engagements, and personal projects. Liaise with designated family member(s) and/or household staff, vendors, and service providers to ensure the smooth operation of the CEO’s residence (e.g., managing home maintenance or other household projects). Handle errands such as shopping, gift buying, reservations, and various ad-hoc personal requests. Assist with personal and professional events, both small and large scale, including family celebrations, philanthropic events, networking engagements, and corporate functions. Plan and coordinate family vacations/travel, ensuring all details are meticulously organized. Travel with the Co-CEO as needed to ensure effective execution of on-site events.
Confidential Liaison and Documentation
Ensure the highest level of personal and professional discretion in the execution of the Executive Assistant role, including highly sensitive Company and personal financial information and personal family information. Attend confidential meetings and calls as requested; take notes and organize follow-ups and action items. Read, sort, and organize the Co-CEO’s corporate and personal emails. Compose and prepare correspondence that is often confidential. Act as a liaison, problem-solver, facilitator, and first point of contact for the Co-CEO. Routinely manage and maintain highly sensitive and confidential information.
Travel and Logistics Coordination
Schedule and manage travel itineraries, including flights, accommodations, and transportation. Coordinate meal arrangements and logistics for events, meetings, and personal engagements, ensuring all details are meticulously planned. Travel with the Co-CEO as needed to ensure effective execution of on-site events.
Relationship Management
Maintain and nurture relationships with internal staff, talent, key stakeholders, partners, and other professionals on behalf of the Co-CEO. Schedule and coordinate meetings with external parties, ensuring productive interactions.
Time Optimization and Prioritization
Assess and prioritize incoming requests, tasks, and communications to ensure the Co-CEO focuses on high-impact activities. Implement systems and processes to streamline workflow and enhance productivity.
Other Duties as Assigned
Additional functions and requirements may be assigned by the Co-CEO as deemed appropriate.
REQUIRED EDUCATION/EXPERIENCE/SKILLS/COMPETENCIES
Education
At minimum, a High School Diploma or GED. College degree appreciated, but not required. 5+ years of successful experience in a similar role supporting C-level executives or high-profile individuals.
