Office & People Ops Coordinator

Perplexity AI is looking for an Office/People Ops Coordinator to join our small team revolutionizing the way people search and interact with the internet. You will play a crucial role in maintaining a positive and productive workplace environment as well as effectively integrating new team members. You will oversee daily office operations, manage administrative tasks, assisting with onboarding, organising events and contribute to shaping and preserving our company culture. The ideal candidate is organized, proactive, and dedicated to promoting a culture of collaboration, respect, and inclusivity.

Note: This is a part-time role (10AM-2PM M-F)

Responsibilities

• Office Operations Management:
  • Ensure smooth day-to-day operations of the office
  • Manage office supplies inventory and place orders as needed
  • Handle incoming and outgoing correspondence and mail
  • Maintain office equipment and troubleshoot any issues
  • Organize team meals and main the kitchen full stocked with snacks and drinks
  • Liaise with building management and external vendors for facility-related issues
• People Ops Support:
  • Support new team members on-boarding by ordering the equipment and setting benefits
  • Assist with off-boarding process and timely update data reports (i.e. headcount, absence etc)
  • Serve as a first point of contact for employee queries and coordinate people-related initiatives
  • Organize events, including meetings, conferences, and team-building activities
  • Collaborate with HR to implement policies and practices that align with our company values
• Administrative Support:
  • Provide administrative support to various departments as needed
  • Handle sensitive information with confidentiality and discretion
• Company Culture:
  • Act as a cultural ambassador, fostering a positive and inclusive work environment
  • Organize and coordinate employee engagement initiatives, such as team-building activities, celebrations, and recognition programs

Qualifications

• Proven experience as an office manager.
• Prior experience in HR-related positions
• Excellent organizational and time management skills
• Strong communication and interpersonal abilities
• Ability to prioritize tasks and work independently
• Demonstrated commitment to promoting a positive company culture
• Knowledge of Serbian and English languages

Preferred Qualifications

• Knowledge of Russian language
