As a Personal Assistant, you will be responsible for managing the Chief Scientist's schedule through proactive and regular communication and close coordination. This includes organizing meetings, travel arrangements, and guest management. Additionally, you will undertake office management duties, including accounts payable management as a casual buyer in SAP. The coordination of onboarding and offboarding employees in the Zurich team is also an integral part of this position. The start date is negotiable and will be discussed during the application process. We expect a willingness to work primarily (4 days) in our office in Zurich. Key responsibilities include: * Scheduling and managing the Chief Scientist's agenda in close consultation with international internal and external business partners * Organizing meetings and managing guests * Planning and organizing business trips * Planning, organizing and conducting events * Coordinating the onboarding and offboarding of employees and other stakeholders * Acting as a casual buyer in purchasing/PO creation, managing suppliers, orders and invoices
Must have:
  • KV or relevant Bachelor's degree
  • Meticulous and thorough work ethic
  • Strong execution skills and ability to maintain oversight in a fast-paced and complex environment
  • Ideally significant experience as a Personal Assistant, in Event Management or in an administrative role
  • Experience with Swiss business practices
  • Excellent German language skills, both written and spoken, as well as proficient English skills
  • Highly proficient in standard office software

Job Summary:

Als persönlicher Assistent (m/w/d) bist du verantwortlich für die Verwaltung des Terminkalenders unseres Chief Scientists durch proaktiven und regelmässigen Austausch und enge Abstimmung. Dies umfasst die Organisation von Besprechungen, Reisen und die Betreuung von Gästen.

Zusätzlich übernimmst du in dieser Stelle Office-Management Tätigkeiten, u.A. im Kreditorenmanagement als casual buyer in SAP. Auch die Koordination des On-und Offboardings von Mitarbeitenden des Zürcher Teams sind integraler Bestandteil dieser Position.

Der Starttag ist verhandelbar und wird im Bewerbungsprozess besprochen.

Wir erwarten eine Bereitschaft, primär (4 Tage) in unserem Büro in Zürich zu arbeiten.

Zu den Aufgaben gehören im Wesentlichen:

  • Terminplanung und Bewirtschaftung der Agenda des Chief Scientists in enger Absprache mit internationalen internen und externen Geschäftspartnern

  • Organisation von Besprechungen, Betreuung von Gästen

  • Planung und Organisation von Geschäftsreisen

  • Planung, Organisation und Durchführung von Veranstaltungen

  • Koordination des On- und Offboardings von Mitarbeitenden und anderen Beteiligten

  • Rolle des casual buyers im Purchasing/PO Erstellung, Verwaltung von Lieferanten, Bestellungen und Rechnungen

Erforderliche Qualifikationen & Fähigkeiten  

  • KV oder relevanter Bachelorabschluss

  • Sorgfätige und gründliche Arbeitsweise

  • Umsetzungsstark und behält den Überblick in einem schnelllebigen und komplexen Umfeld

  • Idealerweise signifikante Erfahrung als Personal Assistant, im Event Management oder in einer administrativen Rolle

  • Erfahrung mit Schweizer Geschäftspraktiken

  • Sehr gute Deutschkenntnisse, in Wort und Schrift sowie verhandlungssichere Englischkenntnisse

  • Sehr sicher im Umgang mit gängiger Office-Standardsoftware
