The A&D Inside Sales Coordinator will work with customers, provide support before and after sales, and answer inquiries in a timely manner. This role includes order management, customer service, and sales tasks like generating quotes. Responsibilities include processing and maintaining sales and service orders, tracking purchase orders, providing order updates, and acting as a liaison between customers and Sales Account Managers. The coordinator will also interact with various departments to get information for customers. The ideal candidate should be an exceptional team player and be able to work in a fast-paced environment.
Must have:
  • Prior customer service, order administration, and/or sales support experience in a technical environment required
  • Experience processing sales orders and RMAs required
  • Experience communicating directly with customers required
Good to have:
  • Experience preparing or processing quotes preferred
  • Technical background, knowledge, or experience preferred
  • Experience with Microsoft Office 365 tools required
  • Familiarity with an ERP system required (IFS and/or Oracle is ideal)
  • Familiarity with a CRM database system required (Salesforce is ideal)
  • Understanding of Defense business and ITAR preferred

Job Details

Coherent’s Aerospace & Defense (A&D) division is seeking a qualified Inside Sales Coordinator to work with existing and potential customers, provide support before and after the sale or service transaction, and answer customer’s questions and inquiries effectively in a timely manner.  This position includes order management and customer service tasks and may include standard Sales tasks, such as generation of quotes. The hire would ensure efficient and timely order management and provide order status updates as needed. The Order Administrator must have a teamwork mentality and customer satisfaction focus, which is crucial for building and maintaining customer relationships.
 

This position works with A&D Sales Account Managers, and other cross-functional departments to ensure customer’s questions are answered, orders get processed through fulfillment, and other assigned work is completed with the best quality of service while adhering to company’s policies, procedures, mission, and values.
 

Primary Duties & Responsibilities

  • Ensure sales and service orders are validated, processed, booked, and maintained properly and in a timely manner. 
  • Ensure all orders are booked in accordance with Company’s policies and procedures.
  • Track customer’s purchase orders using company’s ERP system as well as acknowledge sales and service orders once scheduled/rescheduled. 
  • Provide sales and service order updates, issue RMA documentation.
  • Act as liaison between Customers and Coherent’s Sales Account Managers.
  • Respond to customer inquiries in a timely and professional manner.
  • May need to interact with Quality, Operations, Legal, Contracts, Finance, Planning, Production, and other applicable personnel to get information, timely approvals, and answers for customers.
  • Proactive, self-directed daily follow-up on job related tasks. 
  • Other Order Management, Customer Service, and Sales duties as required.

Education & Experience

Education: Minimum Associate Degree. Bachelor’s Degree preferred.

Work Experience: Minimum of 4-6 years of related experience.

  • Understanding of Defense business and ITAR preferred.

Working Conditions

  • Working on-site 3-days a week/Hybrid.
