Executive Assistant - Amsterdam

The Executive Assistant reports to SVP, Head of Finance, and is expected to provide extensive executive administrative support to the Executive and general support to the finance team.

What you’ll be doing:

  • You will manage a complex calendar across global time zones with a particular ability to efficiently balance schedules between US, UK and Japan
  • Arrange all domestic and international travel and accommodation, including potential itinerary or schedule changes on short notice; build in time for things like thinking and travelling to their next meeting, taking into account time zones, delays, traffic, fatigue
  • Be responsible for a timely flow of information, obtain signatures and authorisations, answer and screen phone calls and manage correspondence flow
  • Compile and process expense reports promptly
  • Create, track, and update organization/team-related projects and documents monthly as assigned (i.e.: organizational charts, team phone lists, etc.)
  • Provide logistical support for leadership meetings, events, and conferences, working in collaboration with Facilities, IT, and external parties as needed on and off-sites
  • Liaise effectively with global Executive Assistant counterparts and build strong working relationships with a wide range of company stakeholders.
  • Continually improve processes and procedures to reduce work time and cost without compromising work quality.
  • Maintain the Executive’s confidence and protect operations by keeping information highly confidential.
  • Function as a communications hub for the department, staying current on team travel and holiday schedules with the ability to locate and contact team members as needed

  • Somebody that communicates effectively both verbally and in writing with leadership, colleagues, and individuals inside and outside the Company.
  • You work collaboratively and effectively with senior executives, colleagues, and individuals inside and outside of the company; capable of bringing people together.
  • Efficiently managing complex schedules across multiple time zones and coordinating seamlessly in a variety of cultural settings is something you do every day

Education and work experience:

  • Significant experience in coordination and administration within fast-paced global businesses
  • Appreciates defined business processes with attention to detail and the ability to prioritise and handle multiple tasks at one time in a fast paced environment
  • Develops trusting relationships through strong interpersonal skills, with a friendly, outgoing, and flexible manner
  • Communicates effectively both verbally and in writing with management, colleagues, and individuals inside and outside the Company
  • Works collaboratively and effectively with senior executives, other assistants, and internal and external partners; capable of bringing people together!
  • Ability to efficiently run complex schedules across multiple time zones and to coordinate smoothly in various cultural settings
  • Technology Savvy: comfortable using technology to set up real-time collaboration, team meetings, team events for the Executive and leadership team
  • A highly professional demeanour, positive outlook, and can-do attitude
  • Communicates transparently in a fast-paced environment and ability to ask for help or clarity when needed
