The Office Manager at EFG will be responsible for overseeing all aspects of office operations for APJ entities, primarily the Malaysia office. Responsibilities include managing facilities, maintaining compliance, coordinating travel and events, providing employee support, liaising with vendors, and collaborating with other departments. The role requires strong organizational skills, attention to detail, and excellent communication in English and Bahasa Malaysia. Remote management of Singapore and Australia offices is also included. This includes managing office procedures, ensuring health and safety, and handling employee onboarding/offboarding.

Office Management & Compliance

  • Serve as the first-level liaison for office management duties, including maintenance, mailing, supplies, equipment, and bills for all APJ entities (MY: on-site; SG & AU: remote).
  • [Malaysia Office Only] Ensure compliance with local laws and regulations regarding office operations, health, safety, and labor laws, including council permit applications, fire regulations, etc.
  • Organise office procedures to ensure proper health and safety measures are in place.
  • Organise and maintain the office in good condition, arranging necessary repairs promptly.

Administrative Support & Coordination

  • Coordinate travel arrangements, appointments, meetings, company social events, team gatherings, celebrations, townhalls, and conferences.
  • Assist in managing software tools and office systems (e.g., room booking software, inventory management systems).
  • Update door security access permissions (Malaysia office) as directed by management.
  • Liaise with and manage contract and price negotiations for office vendors, service providers, and facilities management vendors (e.g., cleaning, catering, pest control, security, and maintenance services).
  • Raise Purchase Order requests for approval as needed.

Employee & Visitor Support

  • Provide general support to visitors, including visiting staff, clients, talent, freelancers, and vendors.
  • Assist in onboarding new hires (ensuring they have tools and equipment) and offboarding employees (ensuring the return and deactivation of resources/tools).
  • Serve as the first-level liaison for employee queries, redirecting them to the appropriate person or department as needed.
  • Actively contribute to fostering a positive office culture by gathering employee feedback and reporting it to management.

Collaboration & Ad Hoc Support

  • Assist IT, TV Production, and Logistics departments with office/studio equipment-related matters.
  • Provide support to the APJ management team for various ad hoc requests.
  • Act as the “eyes and ears” of the leadership team to maintain smooth office operations and address issues proactively.

Requirements

Required Qualifications 

  • 5 Years experience in an office management or facilities role 
  • Proficiency both written and spoken in English and Bahasa Malaysia
  • Managing offices with a capacity of 50-100 people 
  • Proficiency in Google Suite inc Google Sheets 

Bonus Qualifications 

  • Previous experience remotely managing offices
