Job Description

The Order Processing Specialist will be responsible for managing customer order processing with a high degree of accuracy (99%). This includes coordinating with various departments like Buying, Sourcing, PIM, and Finance to address order-related inquiries. The role involves ensuring 3-way matching of deal sheets/quotes, customer POs, and vendor quotes, as well as maintaining compliance with GST regulations. The specialist will also be responsible for attaching relevant documentation in AX, revenue booking (invoicing), and generating MIS reports on order status and delays. The specialist must also provide daily updates on Quote Received VS SO Number & Date, manually in Excel. Share MIS of TAT, and If Delayed short Reasons

Must have:

Ensure 3-way matching for order accuracy.
Ensure GST compliance.
Coordinate with relevant teams for queries.
Maintain daily quote vs SO number records.
Share MIS on TAT and delays.
Attach relevant documents in AX.

What you’ll do as the (Order Processing Specialist):

1.Customer Order Processing Accuracy-99%:

Ensuring -3 Way Matching: Deal sheet/Quote Vs Customer PO Vs Vendor Quote
Ensuring - GST Compliance (TAX, HSN/SAC, Bill To, Ship To, SEZ)
Ensuring - No Risk Terms and condition
Ensuring Necessary Approvals -For Low Margin /SR/Deviations
Clean Orders are to be confirmed within 24 Hrs /Follow SOW
Immediate Email to Buying after Order Confirmation /Sales Order generation

2.Attaching Relevant Doc in AX for Audit Accuracy-99%:

Attach Deal sheet, Customer PO, Email Approvals Zones & Customer, Sourcing Quote where applicable.

3. Revenue Booking (Invoicing):

Same Day Invoicing for Complete Material Receipt
Same Day of GRN Or Next Day if received after 4 PM Seeking Approval for Partial
Material Receipt & Billing if Approved
Stock out Request after Validating, Stock, Config in AX, Batch
Maintaining a Checklist of Monthly Regular Service Billing, and ensuring Invoicing

4. Coordination:

Coordination with Buying, Sourcing, PIM, Finance for Order Related Queries

5. MIS:

Maintain Daily Quote Received VS SO Number & Date, manually in Excel Share MIS of TAT, and If Delayed short Reasons
Any Other MIS Required

What you will bring to the team:

Graduate
3-5 Years of Experience
Fair Understanding of GST Compliance, commercial & Customer Order Processing
Good In Excel
