The coordinator will collaborate with recruiters, hiring managers, and stakeholders, and provide backup support. This role requires excellent organizational and communication skills, with a focus on delivering exceptional service. The position involves working primarily in the Zelis-India office regularly (5 days a week).

Position Overview

Zelis is modernizing the healthcare financial experience for all and we’re growing! We have an exciting opportunity to join our People and Culture Organization as a Talent Acquisition Coordinator. In this position you will play a pivotal role in streamlining our recruitment coordination processes as well as providing with best-in-class service. As part of the People and Culture Operations team you will collaborate with Talent Acquisition Partners and Hiring Managers to ensure alignment of TA recruitment goals. POSITION OVERVIEW:

As a Recruiting Coordinator specializing in interview scheduling and logistics, you will be the cornerstone of our commitment to delivering an exceptional candidate experience. Your primary responsibility will be to manage and coordinate all aspects of the interview process, ensuring a seamless and efficient experience for both candidates and Recruiters (Talent Acquisition Partners). You will work closely with recruiters, hiring managers, and candidates to schedule interviews, arrange necessary accommodations, and provide logistical support to ensure a positive experience for all stakeholders. You will contribute to our desire to be an employer of choice and play a vital role in attracting top talent to Zelis.

KEY RESPONSIBILITIES

Interview Scheduling and Feedback:
• Act as the primary point of contact for scheduling interviews in both US and India, demonstrating a customer-centric approach in all interactions.
• Collaborate closely with candidates and interviewers to coordinate and schedule interviews that accommodate preferences and ensure a seamless scheduling experience.
• Utilize scheduling software or tools (Workday + Outlook) to efficiently manage interview logistics and avoid conflicts.

• Coordinate logistical aspects of interviews, including room reservations (if applicable), virtual meeting invites, interview guides/materials & links to candidate pre-work/testing (if applicable).
• Communicate interview details, including date, time, location, and participants, to all relevant parties promptly.
• Coordinate candidate feedback from interviewers following candidate interviews, collating comments, and assessments to inform hiring decisions.
Recruitment Coordination
• Maintain and update applicant tracking system (Workday) to ensure accurate and up-to-date records of candidates and their status in the recruitment pipeline.
• Assist in employer branding initiatives, such as job postings and social media recruitment, as needed.
• Ensure a positive candidate experience by keeping candidates engaged and informed throughout the recruitment process, including the period between offer acceptance and start date. Develop and recommend new ideas for post offer connects with respective stakeholders.
• Ensure compliance by maintaining accurate documentation related to recruitment activities and uphold confidentiality and data protection standards.
Collaboration and Coordination:
• Foster strong relationship with recruiters, hiring managers, and other internal stakeholders, working collaboratively to meet hiring goals while prioritizing candidate satisfaction.
• Communicate effectively with all parties involved, providing timely updates and information to keep everyone informed and aligned.
• Provide backup support for US-based Talent Acquisition Coordinator as needed, ensuring seamless coverage and continuity of recruitment operations.
Qualifications:
• Previous experience in a recruiting coordination or administrative role, preferably in a fast-paced environment that emphasizes delivering exceptional service and building positive relationships.
• Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple priorities simultaneously.
• Excellent communication skills, both written and verbal, with a genuine passion for helping others and a commitment to exceeding expectations.
• Proficiency in scheduling software or tools (e.g., Google Calendar, Microsoft Outlook, applicant tracking systems, preferably Workday).

• Attention to detail and a commitment to accuracy in managing interview logistics.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Bachelor's degree or equivalent experience preferred.

WORKING CONDITIONS:
• Shift timings – 2 PM to 11 PM
• Expectation to work primarily in the Zelis-India office regularly (5 days a week)
• Willingness to work outside of normal business hours as required to collaborate with teams outside of India.
