DreamHack Dallas 2025 seeks a temporary Cosplay Lead (March-June 2025). Responsibilities include pre-event competitor outreach and marketing material curation, cosplayer registration and qualification, communication with contestants and crew, contract creation, event logistics coordination (including setup, staff training, and managing the cosplay competition), ensuring a supportive environment, post-show payment processing, feedback collection, and report creation. This role requires 3+ years of cosplay event experience and familiarity with the Dallas cosplay community.

We create worlds where the gaming community comes to life.

We are looking for a Cosplay Lead to support our DreamHack Dallas festival. This is a temporary position running from March through June 2025. Our ideal candidate would be based in the Dallas area; however, we are open to remote candidates who are able to be onsite in Dallas during our DreamHack festival from May 20th to May 26th. Don’t worry—we will cover the cost of your travel and accommodations in Dallas for the event. Total compensation for this temporary role will be approximately $6,000 for this event.

What you'll be doing:

Assisting the Product Manager of Community & Associations in all products, with a focus on cosplay.

Pre-Event

  • Reach out to accepted competitors to post / highlight them as being accepted for the competition coordinated with marketing.
  • Assist Product with curating materials for marketing purposes.
  • Accept cosplayers for pre-registration based on accepting a variety of skill levels, confirming they are legitimate cosplayers, and have a good reputation for following the rules, have not won with the current build they are submitting to compete with.
  • Research all contestants that apply to ensure they are qualified to compete in the right category.
  • Communicate with competing Cosplayers to answer questions and confirm competition schedule
  • Assist in creating contracts, collecting paperwork and onboarding talent
  • Assist with communication with the Cosplay guests to coordinate load in, set up, logistics questions
  • Communicate with Cosplay crew to set schedule and assist with basic training
  • Assist in product sorting through cosplay competition submissions
  • Assist in executing communication from acceptance through completion of competition.
  • Assist in planning and curating meet-ups for cosplay AND other communities
  • Assist in creation of Cosplay Corner, lounge, meet & greets, meet-ups, panels, workshops when applicable.
  • Assist in various needs for other C&A products
  • Assist in communicating with Main Stage crew for cosplay related content, and PM
  • Assist in hiring cosplay team and staff

During Event

  • Manage Cosplay Crew
  • Assist in set-up of physical space
  • Assist in training cosplay staff
  • Assist cosplay guests and judges with logistics, food vouchers etc
  • Ensure all cosplay activations run smoothly
  • Assist in ensuring the Cosplay Competition runs smoothly, and overseeing the prejudging process.
  • Communicate prejudging results to PMs and producer discreetly.
  • Ensure a safe and supportive cosplay lounge for all attending cosplayers, guests, and handlers.
  • Assist in various needs for other C&A products as needed.

Post-Show

  • Assist PM in making sure all talent is paid
  • Assist in sending out feedback form
  • Send out thank you emails, and feedback forms
  • Assist PM with ensuring all payments for cosplay comps, and activations are given and received by the winners
  • Assists with creating post-show report, and retrospective
  • Document all wins, blockers, and things to improve on in the future

Requirements

What you need:

  • 3+ years of cosplay events knowledge
  • Experience working fast-paces events, with intense hours
  • Knowledgeable about Dallas cosplay community, and well connected in that community
  • Has worked on Cosplay contests previously
