The Admin and Facilities Lead will oversee all administrative, travel, transport, and facility-related operations for the Bangalore office. Responsibilities include managing office operations, maintenance of systems, coordinating with vendors, and ensuring compliance with guidelines. This role involves overseeing front-desk operations, managing office supplies, and supervising support staff. Additionally, the lead will coordinate domestic and international travel, manage employee transport services, and handle vendor and budget management. The role also encompasses ensuring a welcoming work environment, supporting onboarding logistics, and maintaining compliance with policies and norms.
Must have:
  • 6-10 years of experience in office administration.
  • Strong knowledge of HVAC, UPS, and Access control systems.
  • Strong vendor management and negotiation skills.
  • Proficiency in budgeting, reporting, and cost management.
  • Good understanding of safety and compliance regulations.
  • Excellent communication, problem-solving, and organizational skills.
  • Bachelor’s degree.
Good to have:
  • Experience in managing offices across multiple locations.
  • Exposure to travel management software and transport systems.

About the Job: 

We are looking for a proactive and experienced Admin and Facilities Lead to oversee all administrative, travel, transport, and facility-related operations for our Bangalore office.  

What you'll do:  

Facilities Management:  

  • Oversee day-to-day office operations including physical security and housekeeping. 

  • Maintenance of HVAC and UPS systems, Fire safety equipment and access control systems. 

  • Coordinate with building management, landlords, and service providers.  

  • Ensure compliance with safety, health, and regulatory guidelines. Manage office space planning, seating arrangements, and expansion projects.  

Administration:  

  • Manage front-desk operations, visitor handling, and general office administration. 

  •  Procure and manage office supplies and inventory.  

  • Supervise administrative support staff Maintain updated records of contracts and documentation.  

Travel & Transport Management:  

  • Coordinate end-to-end domestic and international travel bookings including flights, hotels, and transport.  

  • Liaise with travel partners, agents, and aggregators for seamless support and cost efficiency.  

  • Oversee employee transport services including office cabs, shuttle service and vendor coordination.

Vendor and Budget Management:  

  • Identify and recommend vendors for facilities, travel, transport, cafeteria, and general admin needs.  

  • Negotiate vendor contracts and monitor service level agreements Track and manage the admin and facilities budget with regular reporting to leadership.  

Employee Support & Experience:  

  • Ensure a safe, well-maintained, and welcoming work environment. 

  •  Support onboarding logistics in coordination with HR and IT (access cards, desk setup, etc.).  

Compliance & Audits: 

  • Maintain compliance with internal policies and statutory norms.  

  • Prepare documentation and support facility-related internal or external audits.  

 

What you'll need:   

  • 6–10 years of experience in office administration, travel/transport coordination, and facilities management.  

  • Strong knowledge of HVAC, UPS and Access control systems.  

  • Strong vendor management and negotiation skills.  

  • Proficiency in budgeting, reporting, and cost management.  

  • Good understanding of safety, compliance, and workplace regulations in India.  

  • Excellent communication, problem-solving, and organizational skills.  

  • Bachelor’s degree 

  • Experience in managing offices across multiple locations.  

  • Exposure to travel management software, employee transport systems, CAFM system and facility management platforms
