The Office Manager will be responsible for the smooth operation of the Berlin office. This includes managing office supplies, equipment, and errands; coordinating team lunches, meetings, and event catering; maintaining the office layout, entry systems, and alarms; ensuring health and safety compliance; managing office-related budgets and providing reports; supporting internal and external visitors; and assisting with travel logistics, visa processes, and relocation. This role requires someone highly organized, proactive, and people-focused to maintain a positive and welcoming office environment.

Role Overview

We’re looking for an Office Manager to join our Berlin team and keep things running smoothly. You’ll play a key role in creating a positive and welcoming office environment, supporting the employee experience and making sure our Berlin studio is a great place to work.

This is an exciting new role for Tripledot Studios born out of the recent announcement of the intended acquisition of 10 games studios including a team based in Germany.

In addition to handling day-to-day office operations, you’ll also support company-wide travel by managing bookings through our travel platform and assisting with visas and relocations. This is a full-time, office-based role based in Berlin.

This role would suit someone highly organised, proactive, and people-focused, who enjoys making things work behind the scenes.

Key Responsibilities
  • Be the go-to person for office management and day-to-day operation
  • Manage office supplies, equipment, post, shopping, and errands
  • Coordinate team lunches, meetings, and event catering
  • Maintain the office layout, entry systems, and alarms
  • Order and manage stationery and equipment needs
  • Keep the office in good condition and handle repairs when needed
  • Ensure health and safety compliance in line with local and international standards
  • Own office procedures and operations
  • Work with HR to keep policies up to date and relevant
  • Partner with IT on onboarding and employee tech equipment
  • Manage office-related budgets and provide timely reports
  • Support internal and external visitors to the office
  • Help employees with general office and travel-related queries
  • Coordinate with cleaning, catering, and security vendors
  • Administer the travel booking system and manage travel logistics
  • Support visa and relocation processes for employees and visitors
  • Help plan in-house and off-site activities like parties and events
