Job Description

The Admin Head is responsible for managing administrative services and activities. This includes overseeing administrative staff, managing office operations, ensuring compliance with policies, and supporting other departments. Responsibilities include office management (managing vendors, space allocation, maintaining supplies, ensuring conference rooms are in order, collaborating with IT, and communicating with the leadership team, managing and ensuring the regularization of employees' attendance records accurately and promptly and ensuring adherence to company policies, procedures, and legal requirements). Also includes People & Culture responsibilities and coordinating events and providing HR administrative support. The role requires a Bachelor’s Degree in Administration or HR and experience. The Admin Head will report to the CHRO.

This role involves overseeing administrative staff, managing office operations, ensuring compliance with organizational policies, and providing support to other departments to enhance organizational efficiency.

Job Description

Office Management:

  • Manage vendors and contract for office services such as cleaning, equipment maintenance, interior design, catering, security staff, transport, courier, and fire & safety.
  • Help formulate occupancy strategies at the site level and assist with planning the best allocation and utilization of space.
  • Maintain office furniture and equipment; restock all office and kitchen supplies and fulfill weekly lunch, snack and beverage orders.
  • Ensure conference rooms, kitchenette and living room spaces are properly in order on a daily basis and guests are greeted with the utmost professionalism at all times.
  • Collaborate with the IT team to ensure employees and new hires are set up for success in terms of office and IT equipment, basic troubleshooting, and some ad-hoc support.
  • Communicate with the leadership team regarding the requirements and improvement of office facilities.
  • Manage and ensure the regularization of employees' attendance records accurately and promptly.
  • Ensure adherence to company policies, procedures, and legal requirements.
  • Maintain records of compliance and assist with audits
  • Assist with budgeting and financial planning for administrative activities.
  • Process invoices, manage petty cash, and maintain financial records.
  • Monitor and track office expenses to ensure they align with the budget.

People & Culture:

  • Responsible for everything office related from ensuring all protocols are being followed to mediating conflicts and being the go-to expert for all HR, benefits questions, problems and office emergencies 
  • Coordinate office events including all hands meetings, happy hours, holiday parties, quarterly business reviews other team building activities on a global scale
  • Provide ad hoc HR administrative support, including filing, paperwork, onboarding and other administration tasks

Previous Experience & Industry Background

  • Bachelor’s Degree in Administration or HR with 10-12 years of experience.
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality and demonstrate integrity.
  • Problem-solving and decision-making skills
  • Attention to detail and accuracy.
  • Proficiency with MS Office.
