Job Description

The Administrative Support III position provides analytical and specialized administrative support to Project Managers, relieving them of complex details and advanced administrative duties. Responsibilities include assisting with the shipping process by handling paperwork, receiving and tracking equipment, and managing equipment returns. The role also involves managing purchases, securing budget approvals, and tracking supplier invoices. Additional tasks include extracting data from tools like Jira, Confluence, Salesforce, Oracle, and Trace, creating and formatting reports in Excel, Word, PowerPoint, and MS Project, and updating project financial sheets and OrgCharts. The role involves helping Project Managers with risk release procedures, project closeout checklists, and Salesforce project tasks, making travel arrangements, coordinating meetings, and working as directed by Operations Management.
Must have:
  • Manage shipping paperwork and equipment tracking.
  • Handle purchasing activities and track invoices.
  • Extract data from various project tools.
  • Create and format reports in different formats.
  • Update project data and manage templates.

Position at Wind River

PMA provides analytical and specialized administrative support to relieve Project Managers of complex details and advanced administrative duties, so they can focus on the success of the project.
 
Assistance with the shipping process:
 
  • Making all the paperwork related to the import
  • Receiving the equipment
  • Keeping tracking of all the equipment received from the client
  • Sending equipment back to the customer
  • Working with the finance for equipment inventory
 
Handling Purchases:
  • Getting all the approvals for the budget needed for the purchase
  • Searching for the desired equipment (when doesn’t have a specified supplier)
  • Making the purchase
  • Following the delivery
  • Keeping tracking of supplier invoices payment
  • Keeping tracking of all acquired equipment
  •  
Extracting data from various tools used on project:
  • Jira
  • Confluence
  • Salesforce
  • Oracle
  • Trace
 
Creating/updating/formatting reports in any needed format:
  • Excel
  • Word
  • Power Point
  • MS Project
 
Updating data
  • project financial sheets
  • project OrgChart
  • any project/customer specific templates, databases, sites
 
Helping PM with:
  • Risk Release procedure
  • PS Project Closedown Checklist
  • Salesforce project tasks: ex. creating milestones, resource requests, PSRs
  • Making travel arrangements and travel expenses
  • Coordinating meetings
Work as Directed by Operations Management
