ORGANIZATION SUMMARY

POSITION SUMMARY:
This role will manage the Enrollment & Assessment Team and ensure data compliance for the Adult Education program for the Chicagoland region (including the DuPage, Aurora, and Chicago programs). This includes 1) supervising enrollment and assessment staff and planning, overseeing, and coordinating student recruitment, registration, enrollment, pre-and-post-testing, orientations, and class placement; 2) ensuring data collection and data entry practices are in compliance with all rules and regulations as stipulated within department granting streams; 3) supporting staff development, program planning, and administration, and 4) assisting with site logistics.
ROLE & RESPONSIBILITIES:
- This role is responsible for supervising others and includes responsibilities consistent with supervising employees, including but not limited to monitoring daily work activities, tracking and approving timesheets including approving time off, monitoring performance including entering goals, progress check-ins, and weekly or bi-weekly check-ins, documenting performance concerns, entering staff promotions, transitions, and separations in HRIS within required time frame. Managers at World Relief are also considered spiritual leaders and are expected to lead staff in a manner consistent with our Christian values, including but not limited to praying with staff, leading devotionals, and fostering a Christian environment in interactions with staff throughout World Relief.
Supervision & Coordination
- Hire (in collaboration with Director of Adult Education), train, coach and support qualified staff including Enrollment, Assessment, Intake, Data Entry, Data Compliance, and Site Coordinators
- Assist with interviewing & training new Adult Edu Team members
- Provide opportunities for staff development, including drafting professional development plans for individual staff members
- Plan, organize, and lead team specific meetings and 1-1s with direct reports
- Liaise & coordinate with other departments and external services to support strong student recruitment, enrollment, and accurate student placement
- Participate in & contribute to Adult Education leadership meetings & WR Chicagoland’s management groups
- Assist with preparing grant applications and reports, focusing on data collection, analysis, synthesis, and quality control checks
Student Enrollment Coordination
- Oversee coordination for student intake, testing, orientation, and class placement
- Manage & coordinate student pre- and post-testing and new student processes
Data & Reporting
- Provide guidance for, and ensure accuracy in, the input & maintenance of all student records in databases, including intake data, attendance hours, case noting, and assessment records
- Prepare student testing reports & required data for grant reports
- Provide statistical data and analysis on a regular basis
- Highlight discrepancies, errors, and underperforming areas of department for immediate resolution
- Attend trainings on state data entry processes, data collection processes, quality checks, and review all grant rules and regulations.
Student Support
- Work closely with the Student Support and Learning & Development Managers to coordinate full scope of student wrap-around services
- Provide regular communication on, and careful coordination of, wrap-around supports provided to best serve the WRC AE students, support staff, instructional staff, and organization

- Strong detail orientation, with an ability to track and analyze data effectively
- Strong cross-cultural communication skills and good interpersonal skills

- Some technology and computer systems knowledge and willingness to learn
- Able to work well with others in a professional, friendly, and flexible manner
- Background & knowledge in adult education administration preferred
- Previous supervisory experience preferred
