Job Description:

Located in the heart of Paris, our office is home to approximately 100 employees working across various functions at PayPal. As our new EA & Office Manager, you’ll provide seamless administrative and operational assistance to the General Manager and Senior Leaders, helping drive business objectives and managing daily office functions.

Your Day-to-Day:

You’ll oversee the smooth running of the office, ensuring a well-organized environment for the team. This includes maintaining organizational charts, handling incoming mail, and providing high-level customer service to visitors and callers.

You’ll also play a crucial role in driving team engagement through the planning and organization of staff meetings, all-hands meetings, and team events like quarterly offsites and holiday parties. Additionally, you’ll work closely with the Facilities Manager to ensure the office environment operates efficiently and oversee wellness initiatives to support the team’s well-being. En pratique, you will:

  • Provide administrative and operational support to the General Manager, ensuring seamless day-to-day business operations.

  • Manage the General Manager’s calendar, travel plans, and meetings, with a focus on prioritization and efficiency.

  • Coordinate team activities, including staff meetings, all-hands meetings, and quarterly offsites, while tracking deliverables and action items.

  • Organize office engagement events to enhance team unity and morale, including regular meet-ups and special occasions.

  • Collaborate with other offices across Europe to share best practices for events, engagement activities, and more. 

  • Collaborate with internal teams and external vendors to support office logistics, facilities, and wellness initiatives.

  • Oversee the office's mail, coordinate visitor management, and provide exceptional customer service to ensure smooth communication across departments.

What You Need to Succeed:

To thrive in this role, you’ll bring a mix of experience, skills, and adaptability. We’re looking for someone who can effectively manage multiple priorities, foster strong relationships, and ensure smooth operations in a dynamic environment. Here’s what we think will set you up for success:

  • Proven experience operating successfully in a multinational and matrix organization.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) with strong organizational skills.

  • Ability to prioritize tasks, multitask, and work independently with minimal supervision.

  • Excellent verbal and written communication skills in both French and English.

  • A proactive, adaptable, and creative approach to problem-solving and process improvement.

  • Prior experience in office management and as an executive assistant in both global and start-up companies is a real plus.
