Job Description

The Sr. Payroll & Tax Specialist will work with the Payroll Sr. Manager and the Payroll Manager on all payroll processing aspects. They will assist in bi-weekly US payroll processing and payroll tax management for various legal entities. The candidate should have a strong understanding of payroll tax regulations and the ability to collaborate with Finance, HR, and other departments. Responsibilities include processing non-exempt multi-state, multi-entity payroll, data entry, monitoring timecards, auditing pay data, validating and reconciling payroll entries, completing reports, communicating with employees, assisting with tax registrations, ensuring compliance, and providing support for tax-related inquiries.
Must have:
  • 4-6 years of progressive payroll experience.
  • Experience with multi-state payroll with at least 1,500 employees.
  • Knowledge of federal, state, and local compliance.
Good to have:
  • Ceridian/Dayforce or ADP payroll experience.
  • CPP payroll experience.
  • Experience with Canadian payroll.

Position Overview
Qualified Payroll and Payroll Tax Specialist to work jointly with the Payroll Sr. Manager and the Payroll Manager in all aspects of payroll processing.  Assist in the bi-weekly processing of US payrolls as well as payroll tax management duties for multiple legal entities. The ideal candidate will have a strong understanding of payroll tax regulations and the ability to collaborate cross-functionally with the Finance, HR and other departments.

 

Responsibilities:
Key accountabilities include but are not limited to:
  • Responsible for processing non-exempt multi-state, multi-entity payroll.
  • Data collection, entry, and audit of all US new hires including tax and direct deposit forms.
  • Continuous monitoring of timecards for non-exempt employees, including communicating with employees and managers to ensure timely, accurate, and complete timecards.
  • Assist with the audit of imported pay data (commissions, expenses, etc.).
  • Validate and reconcile all payroll entries to the payroll register.
  • Complete bi-weekly, monthly, and annual reports as needed using Dayforce reporting system and reconcile to Master Controls and general ledger.
  • Communicate with active and LOA employees via email and by phone, and assist employees with questions they may have, as needed.
  • Compile information requested by internal and/or external auditors for audit selections.
  • Complete monthly/ quarterly reports for US Department of Labor and various state agencies.
  • Assist with completing online and paper tax registrations.
  • Ensure compliance with federal, state, and local payroll tax laws and regulations, including proper tax withholding, reporting, and remittance. 
  • Provide support for tax-related inquiries from employees, and managers. Assist in resolving any issues related to payroll tax withholding and reporting.
  • Assist with processing and review of OUS payrolls. 
  • Participate in special projects and ad hoc reporting as requested by management.
  • Other duties as assigned.

 

Qualifications:
  • 4-6 years of progressive payroll experience with multi-states with a minimum of 1,500 employees.
  • Ceridian/Dayforce or ADP payroll experience desired.
  • CPP payroll experience is a plus but not required.
  • Advanced MS Excel and Google Sheet skills (vlookups, pivot tables, etc.)
  • Knowledgeable in Federal, state and local jurisdictional compliance, and regulatory laws of multi-state, multi-jurisdictional payroll requirements, with an understanding of tax filings including state, unemployment, Family Leave and Worker’s Compensation filings. 
  • Experience with Canadian payroll is a plus but not required as training will be provided.
  • Demonstrated attention to detail, problem solving skills, prioritizing, multi-tasking and confidentiality.
  • Demonstrated ability to interact with employees of all levels with a high degree of professionalism.
  • Demonstrated ability to work under pressure and meet recurring deadlines while maintaining high levels of accuracy.
  • Reliable attendance and willingness to schedule time off thoughtfully, while understanding its impact on payroll processing deadlines.
  • Strong interpersonal, team communication and customer service skills.
  • Excellent communication skills (written and verbal).
  • Ability to manage multiple tasks and prioritize effectively while maintaining attention to detail.
