Job Description

The Executive Assistant provides support to leaders and teams, managing diaries, coordinating meetings, handling communications, arranging travel, and maintaining records. Key responsibilities include supporting Senior Leaders, managing diaries, handling communication, maintaining relationships, and supporting expense processes. The role requires strong organizational and communication skills, the ability to build relationships, and a proactive attitude. Also the candidate should be open to work night shift for US hours.
Must have:
  • Experience supporting an Executive / Senior Leader.
  • Experience in a financial services or fast-moving environment.
  • Polished and professional communication skills.

Job Details

The Executive Assistant role provides support to our leaders and teams to enable them to be effective in their day-to-day activities and responsibilities. Services include: diary management and meeting coordination, fielding communications such as phone calls and e-mails, arranging business travel, maintaining records and files, and providing support on tools, systems and procedures.

Primary Responsibilities include:

  • Provides support for several Senior Leaders.
  • Standard diary management.
  • Provision of administrative and interpersonal support to Senior Leaders.
  • Dealing with incoming communication, correspondence on behalf of the Executives.
  • Building and maintaining strong working relationships both internally and with clients and other key contacts .
  • Support the expense processes from raising claims, POs, setting up suppliers.
  • Arranging basic, travel itineraries and accommodation in conjunction with the in-house travel team ensuring compliance with internal policies.
  • Ensuring appropriate security measures are in place for travel in high-risk areas.
  • Keeping Executives compliance records updated, with gifts/entertainment etc.

  • Ability to build and manage relationships up to all levels both internally and externally.
  • Highly organized and able to prioritize optimally with minimal supervision.
  • Excellent communication and influencing skills. • Resilience, tenacity, and tact.
  • Able to liaise effectively at all levels of the organization.
  • Able to act as a credible representative for the executive.
  • Excellent MS Office and document creation skills.
  • Ability to work independently with minimal supervision.
  • Sound literacy and numerical skills.
  • Ability to think on feet and to react quickly to problems and solve them.
  • Flexibility, discretion, and ability to always respect confidentiality.
  • Appetite for hard work and dedication to work hours required of the role.
  • Calm demeanor and able to function well under pressure.
  • Teammate with excellence in collaboration across a matrixed environment. Proactive, adaptable, possess can-do attitude, can anticipate needs before they arise.

Requirements:

  • Experience of supporting an Executive / Senior Leader.
  • Experience of a financial services company or other Intense or fast-moving environment.
  • Polished & professional. Communication & organizational skills are key.
  • Must be open to work night shift (US hours).
