Must have:

Job Description

The facilities team is essential for creating a productive and efficient work environment. They manage physical workspace, foster community engagement, handle office logistics, and support day-to-day operations. By maintaining an optimal work environment, the facility team enables employees to focus on their core tasks and contribute effectively to the organization's success.

As an Office Manager at Endava, you will foster a welcoming and collaborative working environment within our office space. You will identify opportunities to enhance the experience for our stakeholders and leadership team, using dynamic and impactful approaches to strengthen community engagement and collaboration with our other office locations throughout the region.

You are a cultural driver advocating for inclusivity in the workplace, playing a pivotal role in articulating and representing Endava’s values to cultivate a positive work culture. You will proactively identify opportunities to improve processes and have prior experience in an operations-focused role, ideally in a fast-paced agile environment. This unique role requires full-time attendance at our office in Cluj - Napoca (near Iulius Mall)

Responsibilities

  • Office Management: Manage daily office operations including meeting room allocation, building access, weekly grocery orders for our communal pantry and fridge, maintaining office tidiness, and overseeing travel and delivery coordination for our stakeholders;
  • Building Management: Administer furniture/equipment inventory, oversee building contracts and maintenance, monitor utilities, ensure compliance with legal standards, and maintain relationships with the landlord;
  • Community Engagement: Proactively identify opportunities to strengthen team connections through community events, drive participation and engagement via internal communication platforms and social media, coordinate fortnightly community lunches, and assist leadership with company-wide announcements and All-Hands;
  • Driving Culture: Advocate for an inclusive workplace that unifies our stakeholders and leadership team, and articulates and represents Endava’s values to foster a positive work culture;
  • Concierge: Provide a positive and welcoming experience for guests and clients, and conduct tours of our newly renovated office space;
  • Employer Branding: Collaborate with our People Experience and Marketing teams for internal and external events, meetups, conferences, community-based activities, and celebrations that represent Endava's cultural values;
  • Onboarding: Support our People Experience team with onboarding, and provide a welcoming experience for new starters;
  • Project Work: Collaborate cross-functionally with stakeholders from other teams to support various operational projects within the region;
  • Health, Safety, and Security: Ensure compliance with health and safety regulations, act as a security and fire marshal, and provide first aid.

Qualifications

  • 1 - 2 years of Office Management experience;
  • Positive & Dynamic: As the face of our Cluj - Napoca office, you will seamlessly interact with stakeholders and clients while helping to foster a positive team culture;
  • Great Communicator: Excellent verbal and written communication skills, adept at using platforms like Office365, MS Teams, and Viva Engage;
  • Empathetic Connector: Your maturity and inclusive mindset enable you to effectively connect with stakeholders of diverse backgrounds and seniority;
  • Organised and Resourceful: Capable of multitasking and problem-solving with a proactive and solution-oriented approach;
  • Adaptable and Proactive: You thrive in a fast-paced, agile environment, ready to evolve with changing priorities;
  • Tech-Savvy: Comfortable learning new systems and technologies quickly;
  • Passionate about Workplace Experience: Interested in evolving your career within the Operations space and contributing to the regional growth of the Endava brand.
