SimCorp is seeking an Office Manager to oversee their Paris office and support serviced offices in Spain, Luxembourg, and Brussels. This role is crucial for creating a comfortable and welcoming environment for employees, organizing social activities, and collaborating with the People & Culture team to promote company values. The Office Manager will be responsible for project management, including office-related projects and troubleshooting issues. Facility management includes ensuring efficient office operations, managing equipment, liaising with building management, and overseeing vendor relations. Administrative duties involve maintaining policies, managing supplies, travel arrangements, and onboarding new colleagues. The role also includes supporting local and global events and organizing social activities. The ideal candidate will be motivated, solution-oriented, meticulous, and proficient in both English and French, with familiarity in Microsoft Office and other relevant technologies.

WHY THIS ROLE IS IMPORTANT TO US

The Workspace Experience Team is a global team responsible for the efficient operation the Simcorp offices, including facilities, managing vendors, front of house, events, wellbeing, health & safety and ensuring smooth operations. We work collaboratively across the business to ensure a productive and cooperative work environment.

The Office Manager, Workspace Experience, will oversee the Paris office and ensure service delivery in Spain, Luxembourg and Brussels serviced offices. This role is pivotal in creating a comfortable and welcoming environment for all employees, as well as organising engaging social activities and integration events in collaboration with the Global Workspace Experience team, CSE, and Country Ambassadors. The candidate selected will collaborate closely with the People & Culture team on location-specific items and play an integral part in promoting company values and policy by supporting company initiatives.

This is a full-time position, it is a hybrid role with the opportunity to work remotely one day per week. Some business travel may be required.

What you will be responsible for:

Project Management:

  • Manage office-related projects, such as office moves or system upgrades.
  • Address office-related challenges, troubleshoot issues, and implement solutions.
  • Identify areas for improvement in office procedures and implement innovative solutions.
  • Collaborate on cross department projects such as global health and safety, travel optimization, cost savings and ESG efficiencies

Office Environment and Facility Management:

  • Ensure the office operates efficiently and meeting and kitchen areas are welcoming.
  • Oversee office equipment and facilities to ensure a safe environment.
  • Troubleshooting coffee machine, printers and other minor office equipment.
  • Optimize office space by monitoring utilization and adjusting layouts as necessary
  • Manage and issue security passes for office and building.
  • Liaise with building management for maintenance requests, security, and ESG reporting.
  • Organize pre-planned and reactive maintenance.
  • Manage vendor relations, including agreements, renewals, and negotiations.
  • Act as a point of contact for third parties, suppliers, and vendors.
  • Monitor budget spend and ensure cost efficiency.
  • Oversee office Health & Safety, including organizing committee meetings, training, and equipment compliance.
  • Involvement in property strategy, including recording office utilization and monitoring visitor statistics.
  • Ensure adherence to Health and Safety legislation.

Administrative:

  • Maintain and update office policies and procedures.
  • Update office information guides, floorplans, and SharePoint documentation.
  • Address ad hoc tasks and issues as they arise.
  • Monitor orders of supplies and manage travel arrangements.
  • Order additional services and manage local mobile phone accounts.
  • Arrange international and domestic courier and post services.
  • Onboard new colleagues and support hybrid work policy.
  • Be an ambassador for global People & Culture initiatives.
  • Order catering for meetings and events, manage office food supplies and other consumables.

Events & Social:

  • Support local and global events and organize gifts and certificates for staff milestones.
  • Plan and organize in-house events, department off-sites and other social activities.

For success in this role, it's important to demonstrate initiative, be aware of deadlines, and communicate proficiently in both English and French. Experience working with CSE is desired but not essential.

  • Proficient ability to manage multiple tasks, balance responsibilities, and maintain a well-organized workspace.
  • Fluency in French and English.
