Job Summary

Job Description

The People, IT & Facilities Coordinator ensures a smooth onboarding experience for new hires, provides first-level IT support, and maintains efficient office operations. This role bridges HR, IT, and office administration, ensuring contractors have the necessary tools and environment. Key responsibilities include managing the end-to-end onboarding process, coordinating new hire orientation and IT setup, maintaining contractor records and system access, providing basic IT troubleshooting, managing IT assets, overseeing office maintenance and supplies, managing seating arrangements, and assisting with security systems. The ideal candidate will have 3+ years of experience in HR, IT support, or office administration, be tech-savvy with experience in IT troubleshooting and asset management, possess strong organizational skills, and have excellent interpersonal skills.

Description

The People, IT & Facilities Coordinator is responsible for ensuring a seamless onboarding experience for new hires, providing first-level IT support, and maintaining efficient office operations. This role bridges HR, IT, and office administration, ensuring that contractors have the tools, access, and environment they need to perform effectively.

Key Responsibilities:

  • Onboarding & Contractors Support (HR Focus)
  1. Manage the end-to-end onboarding process, ensuring a smooth new hire experience.
  2. Coordinate new hire orientation, IT setup, and workspace arrangements.
  3. Maintain contractors' records, ID issuance, and system access credentials.
  4. Assist in HR documentation and compliance processes.
  • IT Helpdesk & Technology Support
  1. Act as the first point of contact for basic IT troubleshooting (internet, hardware, software, email, drive access, etc.).
  2. Coordinate with IT vendors for system installations, repairs, and upgrades.
  3. Manage IT asset inventory (laptops, peripherals, software licenses).
  4. Support contractors with office tools like Microsoft Office, Google Suite, VPN access, etc.
  • Facilities & Office Operations
  1. Oversee office maintenance, supplies inventory, and vendor coordination.
  2. Manage seating arrangements and workspace optimization for hybrid teams.
  3. Assist in maintaining security systems (CCTV, access control, and visitor logs).
  4. Ensure office equipment is functional and liaise with vendors for repairs.

Requirements

  • 3+ years of experience in HR, IT support, or office administration.
  • Tech-savvy with experience in IT troubleshooting and asset management.
  • Strong organizational skills for office inventory and facilities management.
  • Great interpersonal skills to support new hires and contractors.
  • Experience in a hybrid workplace setup is a plus.
