The Office Coordinator at DNEG & ReDefine in Montreal will provide support to the Head of Workplace Experiences. Responsibilities include managing vendor and client relations, using administrative software, planning company events, preparing purchase orders and expense reports, managing office supplies, scheduling runners' tasks, and booking domestic and international travel. The ideal candidate will have excellent communication and interpersonal skills, strong organizational abilities, attention to detail, and be bilingual (French/English).

Nous sommes actuellement à la recherche d'un(e) coordinateur(trice) de bureau dynamique pour rejoindre l'équipe du bureau de DNEG & ReDefine situé à Montréal
Relevant du chef de l'expérience en milieu de travail, le titulaire du poste sera chargé de fournir un soutien à ce département. Ce poste est à 100% au bureau.

 

Tâches et responsabilités

 

  • Prendre et donner du feedback aux employés et répondre à leurs questions. 
  • Maintenir et améliorer les relations avec les fournisseurs, les sous-traitants et les clients.
  • Utiliser davantage de logiciels spécifiques au rôle administratif.
  • Développer et maintenir de bonnes relations avec les clients et les membres de l'équipe.
  • Aider à planifier les fêtes de bureau, les cérémonies de remise de prix et d'autres fonctions liées à l'entreprise.
  • Préparer les bons de commande, les notes de frais, réorganiser les fournitures de bureau/alimentation et assurer la liaison avec l'équipe des finances.
  • Créer des emplois du temps et assigner des tâches aux coureurs.
  • Organiser les voyages nationaux et internationaux.



Qualifications
  • Expérience dans un domaine connexe ou combinaison équivalente d'expérience et d'éducation.
  • Au moins deux ans d'expérience pertinente.
  • Solide connaissance de la suite Office (Word, Excel, PowerPoint) et capacité démontrée à apprendre de nouveaux logiciels.
  • Connaissance de base de Photoshop
  • Capacité à travailler sans supervision.
  • Bilingue FR/ENG, à l'écrit et à l'oral.

We are currently searching for a dynamic Office Coordinator, to join DNEG & ReDefine Office Team located in Montreal
Reporting to the Head of Workplace Experiences, the incumbent will be responsible to provide support to this department. This position is 100% from the office.
Tasks and responsibilities
  • Taking and giving feedback to employees and answering questions. 
  • Maintaining and improving relations with vendors, subcontractors, and clients.
  • Using more software specific to administrative role.
  • Developing and maintaining good relationships with clients and team members.
  • Help in planning office parties, awards ceremonies, and other company-related functions.
  • Preparing Purchase Orders, Expense reports, reordering office/food supplies, and liaising with the Finance team.
  • Creating schedules and assigning tasks for the runners.
  • Book domestic and international travel arrangements.

 

Qualifications
  • Experience in a related field, or equivalent combination of experience and education.
  • Minimum of 2 years of relevant experience.
  • Strong knowledge of the Office suite (Word, Excel, PowerPoint) and demonstrated ability to learn new software.
  • Basic knowledge of Photoshop
  • Ability to work without supervision.
  • Bilingual FR/ENG, written and verbal
